Onboarding New Employees

 Onboarding new hires contains three important elements. 

  1. Onboard new employees with a welcome message and resources.
  2. Learn what a new hire will experience next, so you can help adjust their calendar.
  3. Take advantage of resources that will assist the new hire in getting off to a great start.

You owe it to your new colleague to make sure that they have a good first day, week, and year.

Supervisors can monitor new hire progress through the onboarding dashboard in SuccessFactors.

All new hires are required to complete their Form I-9 with three business days of their hire date. Learn more about I9 Resources here.

  • Provide the New First Steps Link to the new hire - so they know what to expect.
  • After accepting the offer letter, the new hire receives an email to the data collection wizard. Once that is complete they receive another email linking to this Welcome web page that provide helpful information in order to create their career account and password and access systems.

Positions located in Indianapolis must have the Indianapolis flag on the person record in SuccessFactors, which is used to initiate the IU credentialing process.

Review Your Tax Withholding

At the time of hire, all newly hired employees are automatically assigned default tax withholding values.

Default withholding elections:

  • Federal Tax: Single rate
  • State Tax: 0 allowances

Important: Under Onboarding 2.0, tax forms are not completed during the onboarding process as default elections are initially used as noted above. New employees may review and update their withholding information after hire to ensure it accurately reflects their personal tax situation.

NOTE:  International employees’ tax withholding information is automatically set as follows. 

  • Federal Tax: IRS required Single-Nonresident Alien rate,
  • State Tax: 0 allowances. 

 

When transferring from one university position to another, employees are encouraged to provide written notice to their current supervisor of their intent to resign from their current position for a new role within Purdue. While two weeks is generally recommended by Human Resources, the appropriate notice period may vary depending on the situation. The current department should not require an employee to continue to work in their position once they tender a resignation. Employees and hiring supervisors with questions about the process should contact their currently assigned HR Business Partner. The respective HR Business Partners from each area will work together toward a suitable outcome.
