Staff Promotion Requirements
Purdue University defines a promotion as moving an employee to a position with greater responsibility and in a higher career stream level. When there is a business need for a higher-level position and funding is available to support a higher salary, supervisors or departmental leadership may document and propose a staff promotion to the College of Science leadership for approval. All staff promotions are considered by a committee of senior staff in conjunction with the Director of Financial Affairs and the Dean.

College of Science Promotion Guidelines
1. Eligibility
- The employee must hold their current position for a minimum of two years before being considered for a promotion.
- This requirement does not apply in cases of organizational restructuring.
2. Business Need
- Promotions must meet or address a business need within the unit.
- The need must be significant in comparison to the attributes of the current position and/or align directly with the college or unit strategic priorities.
3. Funding
- The associated business unit funds promotions.
- A promotion cannot occur if the budget cannot support a salary increase.
- Promotion increases in salary are subject to a wide variety of factors. See the HR guidelines for Positions Changes and Pay Band Impact. For all promotion requests endorsed by the College, the Director of Financial Affairs will determine the amount of the increase in collaboration with the department head and Human Resources.
4. Qualifications
- When considering an employee’s experience and education, the employee must meet at least the minimum requirements for the career level they are being considered for, as outlined in the Purdue Career Stream Level Guide.
- The candidate must meet the minimum requirements for the career level and most, if not all, of the aspects of the new position description.
5. Process
- Department supervisors or leadership will document and propose staff promotions to the promotions committee for approval.
- All promotion requests must be submitted via Qualtrics by the stated deadlines:
- October 1 for January 1 promotions
- March 1 for July 1 promotions
- The committee will review all submitted promotion requests.
- Approved promotions go into effect on January 1 or July 1, depending on the cycle.

- Please complete the following information about the employee's current position: Job Code; Job Family; Sub-family; Career Stream Level; Pay Band; Current title as it appears in Success Factors; Current position title, if different; Current Salary; Start Date of Current Position; Purdue Start Date; Date of most recent promotion; Score of most recent performance review.
- Please complete the following information about the proposed position: Job Code; Job Family; Sub-family; Career Stream Level; Pay Band; Suggested title; Proposed title, if different.
- Provide explanation describing the business need (3-6 sentences).
- Describe how requirements of the position have changed (3-6 sentences).
- Outline current responsibilities vs. increase in duties (25-40% increase).
- Outline/highlight skillset with specific examples (limit 500 characters).
- Provide 3 specific examples of sustained performance (limit 500 characters).
- Include examples of documented performance over previous 3-6 months (limit 500 characters).
- Provide at least three examples of steps taken to gain new skills (limit 500 characters).
- Describe how employee demonstrated personal motivation and willingness (3-6 sentences).
