Classroom and Event Use Guidelines
Conduct and courtesy expectations for anyone using Purdue-managed classroom and event spaces.
What to Know Before You Request a Classroom
These guidelines apply to all faculty, instructors and event requestors using Purdue-managed classrooms and event spaces. By following them, you help preserve shared spaces, respect other users and ensure that classes and events run smoothly for everyone. Failure to follow these guidelines may result in removal of your scheduling privileges.
Submission Deadlines
- Weekday events may be submitted up to the day of the event. However, advance notice is encouraged so staff have time to assign resources and troubleshoot any issues before your event.
- Weekend or overnight events must be submitted at least two weeks in advance. These events often require work orders for Building and Custodial Services, so requests received after this deadline cannot be accommodated.
- Cancellations or modifications require at least 24 hours notice for weekday events and no later than noon on Wednesday ahead of weekend events.
Events Involving Minors
If your department or organization is planning an event that involves minors, email youthprotection@purdue.edu before submitting your request to confirm compliance requirements are met.
Recurring Events
Recurring events follow the academic calendar. Dates that fall during breaks, holidays, or finals week will be removed. Use the Event Search in UniTime to review your dates before submitting.
Classroom and Event Courtesy
Classrooms and event spaces are shared resources. The guidelines below outline your responsibilities when using these spaces and help ensure they remain available, functional and welcoming for everyone.
Guidelines for:
Furniture
- Don’t move furniture outside its designated room. Placing additional seats in a classroom may violate fire code, which may result in building staff canceling a class or event for safety reasons.
- You may rearrange moveable furniture within the room, but return it to its original configuration before leaving.
- Don’t use tools or force to move furniture fixed to the floor. Damage will result in repair fees.
- If you need a larger room for your class, contact your department schedule deputy.
Noise
Keep music, dance or amplified sound at a low volume. Surrounding classrooms are in use, and disruptive classes or events may result in scheduling privileges being restricted or removed.

Room Capacity
- Attendance cannot exceed the listed seating capacity of the scheduled room.
- University staff or the fire marshall may shut down a class or event that exceeds capacity.
Room Use and Storage
No materials, equipment or personal items may be stored in classrooms for future use. All materials must be removed daily.
- Remove all food and drink items before leaving. Take out the trash and replace the trash bag.
- Wipe down tables, chairs and AV equipment (mouse, keyboard, podium, etc.) after use if needed.
Wrap up your class or event on schedule, so that the next user has time to set up.
Before you leave
Complete the following before leaving the room:
- Erase any blackboards or whiteboards used.
- Turn off AV equipment. Leave the room computer powered on, but log out of your account and close all open windows or screens.
- Return furniture to its original configuration.
- Remove all materials, food, drink and trash.
Resolving Room Conflicts
If you have a continuing dispute with another instructor over room use — such as starting early or staying past the shutdown period — raise the issue with your department’s schedule deputy.
If the problem cannot be resolved between instructors, the schedule deputy can escalate to our Academic Classroom Scheduling team.
