Academic Classroom Scheduling

Everything you need to manage course scheduling for your department — approved class times, room requests and key deadlines.

New schedule deputies should first complete Schedule Deputy training.

Class Section Cancellation

If a class section needs canceled, the department schedule deputy must notify the Office of the Registrar Academic and Classroom Scheduling and inform enrolled students to change sections. If no other section is available, students must officially drop the course.  

Changes to Official Schedule

All changes to the official schedule must go through the scheduling deputy and the Office of the Registrar Academic Classroom Scheduling team. Instructors may not change the time or location of a scheduled course without authorization. 

Disability-related Scheduling Accommodations

If you have students in need of disability-related scheduling accommodations, please contact the Office of the Dean of Students or the Disability Resource Center. 

Academic Scheduling Guidelines 

Purdue uses a 55-hour academic week. Classes typically meet Monday through Friday, 7:30 a.m. to 5:30 p.m. (until 5:45 p.m. on Tuesday and Thursday), and Saturday, 7:30 a.m. to 12:20 p.m. To support a conflict-free schedule and fair use of teaching spaces, departments are asked to follow the guidelines below when building their schedule of classes. 

  1. Use standard meeting patterns. Standard sequences help students build workable schedules and stay on track to graduate. 
  2. Spread classes throughout the day. Distribute courses across the week to increase student options and reduce bottlenecks at peak times, especially before 9:30 a.m. or after 3:30 p.m. 
  3. Use classrooms and staffing efficiently. Improving space utilization benefits the entire campus schedule. 
  4. Allow flexibility for large sections. Because large classrooms are limited, large-section courses should have as much scheduling flexibility as possible. 
  5. No long-standing commitments are guaranteed. Long-standing time and location arrangements may not be possible each term. 
  6. Requests and preferences are reviewed but not guaranteed. The Registrar works with department heads to accommodate requests made in UniTime at the instructor-, course- or program-level when possible. 
  7. Non-standard times and weeks require approval. Requests must be approved by the college dean and the Office of the Provost. If a non-standard course requests a specific location, it may need to choose between the requested time or the requested space — not both. 
  8. Schedule faculty meetings after the schedule of classes is published. Alternatively, align with standard sequences starting at 3:30 p.m. to avoid conflicts. 
  9. Practice, study and observation (PSO) sections may be scheduled online at any time. In-person PSO sections with 50 students or fewer are scheduled in available daytime classrooms, while sections with more than 50 students are scheduled in available evening classrooms.

Class Transitions

Between classes, the first five minutes after the official dismissal time is a shutdown period for the outgoing class. This allows the instructor time to power down equipment and pack up materials. The following five minutes before the next class begins is preparation time for the incoming class. Plan accordingly and dismiss on time.

Approved Class Times

The following time sequences are approved for use when planning the schedule of classes. Requests for exceptions must be approved by the dean and the provost and require a letter submitted through the Office of the Registrar at schedule planning time each semester.

One-hour periods may be offered Monday through Friday in the following sequences:  

  • One 50-minute (1×50) class meeting Monday-Friday
  • Two 50-minute (2×50) classes meeting:
    • Monday and Wednesday
    • Monday and Friday
    • Tuesday and Thursday
    • Wednesday and Friday
  • Three 50-minute (3×50) classes meeting Monday, Wednesday and Friday

Schedule Build Process

Use the process below to submit scheduling requests for large lecture rooms, active learning classrooms, general-purpose classrooms and computer labs each term.

Large Lecture and Active Learning Classrooms 

Large lecture rooms serve classes of 60 or more students. Active learning classrooms support IMPACT and other active learning courses. Because both room types are limited and in high demand, we centrally coordinate scheduling to ensure fair, efficient use. Single-section courses typically have less scheduling flexibility than multi-section courses. 

Department schedule deputies submit requests for both room types using scheduling software, including: 

  • Preferred time and location 
  • Room size needed 
  • Meetings per week and meeting length (for example, 3×50 minutes or 2×75 minutes) 
  • Equipment needs 
  • Notes to explain special needs 

The system also uses prior-term joint enrollment patterns to help reduce course conflicts for students.

General-purpose Classrooms 

Each term, we estimate each department’s general-purpose classroom needs using prior similar-term usage. Departments are allocated rooms to build their schedules, about one room per 45 daytime room hours of expected instruction, excluding large lecture and active learning rooms. 

Allocations consider room size, location, type of seating and special equipment. A few practical notes: 

  1. Schedule within available times and standard meeting patterns. 
  2. Distribute classes across the week and avoid peak-hour bottlenecks. 
  3. After departments submit schedules, general-purpose classrooms return to central control. 

General-purpose Computer Labs 

Computer lab schedules are developed after departmental schedules are complete and follow the same submission process as large lecture and active learning classroom requests. 

Technology and Facility Needs 

Some classes or events require assistance from Classroom Support or Building Services. Review any additional AV equipment, room setup and staffing needs in advance to ensure everything is in place before your class or event begins.
