Grade Submission Windows
Review the submission window for your term and session. Faculty who miss the submission deadline must submit grades through the Grade Change Workflow in myPurdue.
Grading windows apply to courses whose start and end dates align with the published sessions. If your course has non-standard start and end dates, consult your schedule deputy to determine which reporting window applies.
Purdue Polytechnic Statewide locations follow the full term session reporting schedule for each term.
How to Submit Grades
Grades are submitted through one of two paths — choose the one that fits your grading approach.
Please note: Only the instructor of record for the course may enter or submit final grades.
Brightspace
This is best to use when grades are calculated through the Brightspace gradebook over the course of the term. Brightspace pushes final grades directly to Banner.
myPurdue
Use myPurdue when you need flexibility to apply discretionary adjustments (such as bonus points or engagement) before finalizing a grade. Select each student’s grade individually from a roster.
Final and Midterm Grade Submission
Use Faculty Grade Entry in myPurdue to submit midterm and final grades.
How to Access Faculty Grade Entry in myPurdue
- In myPurdue on your Faculty tab, find the Tools card and select Faculty Grade Entry.
- Select the Term column header to sort your courses so the most recent term is listed first.
- Select the row for the course you’re ready to grade. Your roster will open at the bottom of the browser window.
Entering Grades
- During a midterm grading window, enter the midterm grade in the Midterm Grade column.
- During a final grading window, enter the final grade in the Final Grade column.
- If you assign an FN grade to a student who never attended or stopped attending, also provide your best estimate of their last date of participation.
- Don’t assign an Incomplete grade unless the student has explicitly asked for one. Assigning an Incomplete without the student’s request can have serious consequences for them.
- If you have multiple pages of grades to submit, save each page before moving to the next to avoid losing your work.
Confirming Your Instructor Status
If you’re unsure of your status as the instructor of record, check the My Course card in myPurdue. Your course offerings will appear there. If not all courses appear, select the More link below your visible courses. If you’re missing one or more courses, contact your Schedule Deputy.
Special Grading Instructions
The guidance below refers to assigning grades that require additional documentation or context.
Incomplete (I)
An Incomplete (I) is used when a student has attended class and completed most course requirements but needs additional time to finish due to extenuating circumstances. To assign an I grade:
- The student must have explicitly requested the I.
- Complete Registrar Form 60 through your department, including the reason for the I, what the student must do to earn a permanent grade, the grade earned on completed work, and how remaining work will be weighted.
- Don’t use an I in place of a failing grade.
- For Pass/No-Pass courses, assign PI instead of I.
- For Satisfactory/Unsatisfactory courses, assign SI instead of I.
Failing (F)
Assign a Failing (F) grade when a student completes the course and participates through the end of the term but does not meet course objectives.
Failing/Non-authorized Incomplete (FN)
Assign a Failing/Non-authorized Incomplete (FN) grade when a student does not officially withdraw but stops participating before the end of the term. Use FN when there isn’t enough completed work or participation to evaluate academic performance.
After entering an FN grade you must record the student’s last date of participation in an academically-related activity, such as an exam, quiz, assignment, project or class attendance — if attendance was taken. All FN grades will convert to Fs as part of end-of-term processing.
If the student never participated at any point in the term, report the first day of the term as the last date of participation and ensure Initial Course Participation (ICP) is reported as — No. Students in this situation may become ineligible for financial aid for that course under federal guidance.
Grade Change Workflow
Use the Faculty Tools card in myPurdue to initiate a grade change.
Accessing the Grade Change Workflow
In myPurdue, find your Faculty Tools card and select Grade Change Workflow. You may see two tabs in the application — Request and Approve. Your role determines which tabs appear.
- Request tab: Submit a grade change request
- Approve tab: Approve or deny requested changes
Select the Term
The Course field populates with a list of courses for which you’re the instructor of record. Select a course.
- This populates the Student field with a list of students from that class roster.
- Start typing a student’s name to limit the scroll list.
Select the Student
By selecting the student, the Actions section appears.
- This section shows the actions available to select, along with student information.
- Note: You can submit only one request per student per course. If a request is already pending approval, the Actions section will show the pending action. No further changes can be requested until that request is completed.
To request a grade change, select Grade Correction under Actions.
- The Grade Correction section appears, where you will enter the new grade.
- Select a reason from the dropdown.
- Add a comment explaining the rationale for the request. This gives the approver the information they need to review and act — leaving the comment blank could delay the student’s updated final grade.
Select Submit
A confirmation window prompts you to verify your request.
- Review your entries for accuracy.
- Select Confirm.
A Request Submitted message will then appear confirming the request is en route to the approver(s) for action.
Submitting a Grade Change Request
- Select the term in GCWF.
- Select the course (only courses for which you are the instructor of record will appear) followed by the student.
- Under Actions, select Grade Correction.
- Enter the new grade and reason, then submit.
- Provide an explanation for the grade change to ensure there’s no delay in approvals.
