Registration Workflow

Route student registration requests requiring approval and apply approved changes to a student’s schedule. Learn how to manage your queue, take action on requests and find the right contact for specific request types. For help with registration errors and overrides, explore registration troubleshooting.

Registration Troubleshooting

Navigating and Filtering Your Queue 

Access the Registration Workflow from the link in your daily email notification, or from the Registration Workflow System found on the Advising: Student Record Tools card in myPurdue. 

You’ll receive a daily email digest each morning when you have items awaiting action. 

Confirm Your Term 

Before you start, confirm your term. The system defaults to the future-most active term. If multiple terms are active, update the Term filter before reviewing or taking action. If your Active queue appears empty after confirming campus and term, either you have nothing to approve, or another approver has already taken action.

Change status from Active to All to see completed items, or to Canceled to see items canceled by the student or after a deadline.

Use the Status filter to narrow your queue. Each option and their description is included in the table below.

All All requests you have any approval authority, excluding canceled requests (best for gathering a full picture of a student’s requests and troubleshooting) 
Approved Fully approved requests
Denied Requests denied by one or more approvers 
Escalated Requests awaiting action for two business days (escalation triggers at approximately 4 p.m. on the second business day); Escalated advisor requests notify the student’s Registration Program Agent (RPA), who can act as a backup and take action on the advisor’s behalf (if department has assigned someone to that role)
RFCs sent by/to me Request for Comment (RFC) items sent by or to you from another decision-maker
Delegated by/to me Requests for which approval authority has been given by or to you from another decision-maker

Filter by the mode the student submitted the request.

Status / Filter Results
Registration mode (REG)Student submitted a request for an override to get into an available seat 
Waitlist mode (WAITLIST)Student submitted a request while on a waitlist for a section with no seat currently available (only available if the course department has enabled waitlisting) 
Pre-registration mode (PREREG)Student submitted a request during the pre-registration batch process through their Course Request Form (CRF)

Use the Approval Action filter to surface specific request types in your queue. 

Status / Filter What it shows 
All (default) All approval request types
Grade Mode Requests to change the grade mode of a course (Pass/Not Pass, Honors, Audit)

Note: Honors grade mode may also require Honors Coordinator approval. Audit grade mode also requires departmental designee approval. 
Max CR Requests to increase a student’s maximum number of credits beyond the default
CRS-ADD Extended Add requests to add a course that require advisor and instructor approval per the Add/Drop Calendar — typically after Week 1 for standard full-term courses 
CRS-DROP Extended Drop requests to drop a course that requires advisor approval — typically after Week 2 for standard full-term courses (a grade of ‘W’ will be recorded on the student’s transcript) 
VAR-CREDIT Requests to adjust the number of credits for a variable credit course during the Extended Add period (also requires instructor approval)
VAR-TITLE Requests to create a new section or CRN for a variable title course (also requires instructor, departmental designee and Academic Classroom Scheduling approval)

Enter a last name, Purdue ID (PUID) or Purdue career account alias in the main search bar. Select the student’s name from the populated list to search.

To see requests for your advisees that don’t require your action, toggle the Action Required switch to Show All. 

After filtering, sort results using the bar above the queue. Click once for ascending, again for descending and again to return to default. Note: Mode and Major have moved from sort options to filters at the top of the page.

  • Advisor: Sort by primary advisor. 
  • Student (default): Sort by student’s last name. 
  • Submitted: Sort by the time the student submitted the request.
  • Last Action: Sort by time of most recent action noted in the Comment History.
  • Action By: Sort by Action By date after which a request will be cancelled automatically, typically after a deadline.
  • Classification: Sort by student classification (freshman, sophomore, etc.). 

Reviewing and Taking Action 

Each request appears as a block showing information about the request as well as the student’s identifying information, curricula, term, campus and candidacy status. More information about the student can be found by selecting the (i) Stdnt Info link under their name, including the student’s full unofficial transcript and myPurduePlan. You’ll only see items that need your action, and you can see other approvers that are still pending — their roles appear next to the action buttons.

How Approvals Work 

  • Approvals happen in parallel, but registration changes aren’t processed until the final approval is received. 
  • If any approver denies the request, the request stops and no registration activity is processed. 
  • Request status is indicated by color and label: green (active/no action entered), yellow (escalated/no action entered) and blue (approved). Denials are highlighted in red in the Approval Statuses view. 
  • All decisions and updates appear in the Comment History. 
  • To review all approvals, select View Approval Statuses. 
  • To display all approvers who can take action, select Order Approvers.

Review the student’s request and select an action. Choose Save Student to record your decision. 

Action Results
Approve/deny Choose the option, select a reason or add a comment, and select Save Student. If a request is denied, the student cannot submit the same request again in the same mode (REG, PREREG or WAITLIST) for the rest of the term.  

Action-specific fields: For a Max Credit override, enter the approved credit limit. Default limits are typically 18.0 credits for fall and spring, 9.0 credits for summer and 3.0 credits for winter. Deny any Max Credit override request for winter session (the cap is 3.0 credits). For Variable Credit, enter the approved number of credits within catalog limits. For Variable Title, review and confirm the course title, grade mode, credit hours and course dates.
Delegate This sends the request to another approver for a decision. They receive a separate email notification, in addition to the daily digest. 
Request for Comment (RFC) A Request for Comment (RFC) asks another party for more information before you decide. If you send an RFC to the student, they’ll receive an email and respond in Scheduling Assistant. The response is saved in Comment History. 

To reply to an RFC, keep No Action selected, type your response and select Add Comment. Students only see a comment when you use Request for Comment. A comment added with Add Comment alone isn’t visible to students. 
Undo Reverses your last decision only if the item is still undoable and the registration change hasn’t yet processed. If the request is no longer active, use View Approval Statuses to review what happened. 

Use caution when undoing a denial.  Before approving a reactivated request, confirm the request is recent and that the student and other approvers are still expecting action. Check whether the request is bundled with others in a single transaction — approving one may unexpectedly process related requests. To check, open the Order-Details pop-up and look for multiple rows. If bundled, it may be safer to have the student resubmit rather than approve the reactivated request.
