Coeus provides the ability to send a system generated email notification to the named Principal Investigator and any additional recipients manually entered by the Sender.  These email notifications will also contain an embedded link that takes the PI to the CoeusLite Login screen and then directly to the specified record in My Negotiations.

noteNOTE:  The Negotiation module system notification is NOT required and may be canceled prior to sending.

bulletTrigger the Notification

1. In the Negotiation Status field, select “Fully Executed”

2. Click Save

3. Notification will display to be sent or canceled

4. To re-send Notification, change the Negotiation Status to any value EXCEPT “Fully Executed”, click Save, then repeat above steps 1 & 2.

bulletEnter Recipients

IMPORTANT:  The individual named as PI will automatically be added as a Recipient of the Negotiation Notification.

 

Add Role – DO NOT USE

Add Purdue Employee

1. Click “Add Person” link

2. Complete standard search for Purdue employee

3. Click the desired person form search results

4. Person will be added as recipient

5. Repeat steps 1-5 for all additional recipients

NOTE:  Additional Recipients added using the “Add Person” will have notification sent to the Purdue email listed for them in the SAP HR module.

 

Add Non-Employee Recipient

1. Click “Add Person” link

2. Complete standard search for Purdue employee

3. Click the desired person form search results

4. Person will be added as recipient

5. Repeat steps 1-5 for all additional recipients

Delete Recipient

1. Click recipient to delete to highlight

2. Click “Delete” button

3. Click “Yes” in confirmation window

bulletSubject Line

DO NOT REVISE the text that auto-populates the subject line.  This information has specific system functionality that will display PI name and Record number.  The subject line format is also standardized for all module notifications.

bulletAdd to Message Body

IMPORTANT:  Do NOT modify or remove any text pre-populated in the Message Body of the notification.  Any additional information added must be entered in the specific location identified below.

1. Click on the location in the Message Body identified in the above screenshot

2. Enter desired text

3. Text will be included in message body when sent to Recipients

bulletSend/Cancel Notification

Sending the system notification is up to the discretion of the Contract Analyst or Account Manager.

  • Send Notification:  Once all above steps are complete, click the “Send” button.
  • Cancel Notification:  Clicking the “Cancel” button will cause the Send Mail window to close and no email will be sent.
