Plan ahead before traveling on university business this academic year
As the academic year gets underway, those traveling on university business are encouraged to plan ahead and use available resources to help manage time, costs and reimbursement requirements. Whether traveling for conferences, research, meetings or other university business, a few simple steps can make the travel process smoother before, during and after the trip.
Please consider the following guidance:
- Consider the Purdue University Airport (LAF) as the primary airport option. Travelers are encouraged to review flights from LAF when planning university business travel. Using the local airport may help reduce drive time, parking needs and other related travel costs.
- Use the Travel Card when appropriate. Travelers should use the Travel Card for eligible business travel expenses and complete reconciliation in a timely manner. Travelers are reminded to retain receipts and take photos of receipts in the travel app to simplify documentation.
- Review the university’s Travel Regulations. When planning travel, review the regulations to ensure the booking process is followed and required documentation is retrieved to make expense reporting as smooth as possible after the trip has concluded.
- A Cost Comparison is required whenever any personal time is included with your business travel. For assistance on how to pull one, use the Cost Comparison QRG or ask Purdue Travel to pull one when planning travel.
- Book through Concur or AAA Corporate Travel to access corporate discounts. Booking travel through Concur or AAA Corporate Travel helps travelers take advantage of university-negotiated rates and corporate discounts while supporting compliance with Purdue travel processes.
- Don’t have time or want assistance creating an expense report? Submit Travel Details and Documentation to have a Purdue Travel team member complete the expense report.
