Non-Employee and Student Organization Booking

Purdue University is dedicated to improving operational effectiveness and increasing efficiencies. The university has decided to work with AAA Corporate Travel to provide non-employees, including prospective faculty and staff, visiting professors and consultants, and student organizations with travel booking services. This will allow these groups to access Purdue’s negotiated discounts for business travel arrangements and other benefits provided by AAA Corporate Travel.

Departments and organizations needing assistance booking travel for non-employees and student organizations need to go through AAA Corporate Travel. Departments and organizations need to use their Purdue University Purchasing Card (PCard) when using AAA Corporate Travel services for direct booking of reservations for non-employees and student organizations. The PCard now allows those charges on the card.

Reservations required for travel within 72 hours must be made by calling AAA Corporate Travel at 800-354-4514. Travel arrangements with longer lead times should be requested online through the Purdue University Travel Reservation Form. An AAA Corporate Travel agent will then reach out within three business days to confirm reservations.

Transaction Fees

Departments are responsible for transaction fees for all non-employee travel booked through AAA Corporate Travel. Student organizations are responsible for all transaction fees assessed by AAA Corporate Travel. View the list of rates per transaction (Purdue log-in credentials required).

Purdue Travel will continue to cover the transaction fees for faculty, staff and students on the West Lafayette, Fort Wayne and Northwest campuses for travel booked through AAA Corporate Travel. Vehicle Rentals

Drivers should work with their business office to ensure proper requests and approvals are in place. All student organizations, including club sports, must include vehicle rental request information in their Activity Planning Form (APF).

Group Travel

Group travel is defined as bookings that involve 10 or more people traveling on the same itinerary.

Purdue encourages group travel be booked through the University's travel agency as it provides travelers with emergency travel support 24 hours a day, seven days a week and emergency alert notifications for domestic and international travel.
