In accordance with Purdue University’s Code of Ethics and good purchasing practices, Purdue employees may not accept gifts or any type of entertainment, regardless of the value. Vendors are requested to cooperate in this regard.

Ariba Invoicing Instructions

There are two options available for submitting e-invoices through Ariba. Option 1 (online invoicing) is the most common method and is already enabled with any supplier that receives an Ariba purchase order (PO) on behalf of Purdue.

Suppliers log into their account, identify a PO to invoice and click “process invoice.” This will create the invoice and allow the supplier to review the pre-populated information before submitting it. The invoice will send automatically to the buyer’s Ariba P2P system through the Ariba Network.

Allows the supplier to automate processes like POs and invoice data entry. The integration option is contingent on the supplier’s technological ability/capability. Typically, there is some form of cXML or EDI integration so that invoices send electronically to Purdue through the Ariba network. Suppliers can specify Online, cXML or EDI as their default routing method for invoices.

  • Remittance ID: When submitting an e-invoice, you will be asked to enter a remittance ID number. This number ensures payment will be submitted to the correct address based on your supplier record with Purdue.
  • Contact pshelpdesk@purdue.edu to obtain your 21-digit remittance ID number.

Questions should be submitted through Ariba Supplier Support.

Shipping Instructions

Please route shipments from your facility as follows (if not shipping on your truck):

  1. If the shipment qualifies for parcel delivery according to weight (up to 150 lbs.), length and girth, then route via  available ground parcel service (e.g., UPS, USPS).
  2. If the shipment involves dry ice packaging, live lab animals, or otherwise requires overnight delivery, route via Federal Express.
  3. If a ship to address cannot be located, Purdue’s default shipping location is:

    Materials Management Distribution Center (MMDC)
    700 Ahlers Drive
    West Lafayette IN 47907

    MMDC receiving hours: Monday – Friday are 7 a.m. – 4 p.m.
    Exception: UPS or FedEx packages can be received until 5 p.m.

This shipment must be routed according to the following routing instructions. Any variance from these instructions will result in the entire freight charge being debited against your invoice for this order. Thank you for your cooperation in this matter.

When preparing shipping documents, the following format must be adhered to for proper delivery at Purdue University:

  1. The purchase order number must appear on all shipping documents, as well as on the address label or overpack container.
  2. The address must be shown exactly as printed in the “SHIP TO” box of the original purchase order. In any case, the format below must be followed:
