Guideline Notes:

  1. Monthly text messaging plans may be cost effective if more than 50 business messages are sent or received each month.
  2. Monthly international voice plans may be available to provide REDUCED voice minute rates for actual cell usage, depending upon the service provider and travel location. Plans may be cost effective for staff who routinely make international calls or are in international travel status. As alternatives, staff may use their MERS number to make international calls from on-campus, check out temporary University equipment for a specific event or obtain a University calling card for use off-campus.
  3. Monthly international data plans may be cost effective for staff who routinely are in international travel status. As an alternative, staff may check out temporary University equipment for a specific event or use equipment available locally, such as Hotel Business Center.

  5. Most cell phone contracts provide a basic device at no cost to the individual. If the employee's job duties require advanced device and service capabilities, carriers now offer smartphone devices that are adequate to perform university business functions (email and calendaring) at a price point of $120. Equipment reimbursements are limited to individuals with data plans and require itemized original receipt, subject to department approval of device and cost. Employees may continue to purchase multiple and/or higher priced devices, however the maximum allowance for reimbursement should be set at the price needed to conduct university business. Note: Personally owned iPad's will be treated under the same guidelines.
