Changes to new employee orientation process

Managers in Physical Facilities and Environmental Health and Public Safety (EHPS) should be aware of changes to the new employee orientation (NEO) process that are effective immediately. All new employees in EHPS and those in the majority of Physical Facilities units will attend the University-wide NEO program and will then have their remaining onboarding tasks handled by their hiring supervisor and Physical Facilities Fiscal Affairs (PFFA) as outlined below. 

New hire tasks for hiring supervisor and PFFA to complete 

  1. The hiring supervisor will inform the appropriate Human Resources recruiter and PFFA (pfpayroll@purdue.edu) of the new hire/transfer and enroll the new employee in the central NEO program.
  2. PFFA will call the new employee to obtain personal information, review onboarding details and discuss new employee orientation. PFFA will send a welcome email to the new employee with their confirmed NEO date and will update employee information.
  3. The hiring supervisor will determine if driving privileges are required based on the position description and will contact Pat Russell at (765) 494-0269 or prussell@purdue.edu for CDL needs.
  4. PFFA will provide employee information to Payroll and confirm section one of the I-9 employment eligibility verification form is complete.
  5. The hiring supervisor will confirm the employee accepted the electronic offer prior to the established start date. If the hiring supervisor does not receive an electronic copy of the accepted offer, they should follow up with the new employee.
  6. PFFA will request computer privileges for the new employee and email the new employee links to set up direct deposit and complete online tax forms.
  7. The hiring supervisor will ensure the new employee obtains a Purdue University ID (PUID) card (required) and parking pass (if necessary) and will provide the new employee with direct deposit information.

These changes have been made to prepare for the implementation of the Successfactors system, which will ultimately provide electronic onboarding for new employees. Successfactors is anticipated to be used starting in April 2018.
