Offer letter templates updated to reflect new Form I-9 process

All Purdue University offer letter templates have been updated with language reflecting the recently updated processes related to the Form I-9.

As recently communicated to supervisors across campus, federal law requires all new employees to physically provide original proof of their identity and work eligibility within three business days of their hire date. Effective immediately, to ensure compliance, any new employee who does not complete their Form I-9 within three business days of their hire date will have their employment terminated. If termination is required, the Employment (Payroll) Center will notify both the supervisor and new hire.

It is a best practice to complete the Form I-9 by the first day of employment to avoid disruption. New hires who do not follow an offer letter template, such as students, should not begin working until the payroll center has received their new hire information and the Form I-9 is complete.

Each unit across the University has access to multiple designated I-9 verifiers to complete the Form I-9 process. To find the I-9 verifier for a unit, see the department Employment (Payroll) Center directory or business office. As part of their onboarding process, units are strongly encouraged to designate one person to assist with ensuring new employees are meeting with the I-9 verifier before or within their first three business days of employment.
