Student Life streamlines event management with launch of new software

A new event management system is now available to request several event spaces managed by the Office of the Vice Provost for Student Life.

Known as Accruent EMS (EMS), the system will be used for event management needs for Student Life entities including all Recreation & Wellness facilities, Krach Leadership Center, Purdue Memorial Union, Stewart Center, Purdue Catering and the Union Club Hotel. EMS can be used for event room requests and reservations, event resource reservation, event management, billing and reporting.

Students, faculty and staff can access the event and space request portal by visiting https://purdue.emscloudservice.com. Users will sign into the EMS portal with their Purdue career account and BoilerKey. Officers of registered student organizations will have the ability to secure space on behalf of their organization.

Non-Purdue entities also may make requests using the new system. Guest requests will be reviewed within three business days.

EMS replaces multiple software platforms previously used by various Student Life departments, including Delphi and RecTrac. The launch of EMS creates convenience for users in allowing all requests to be handled under a single reservation system. EMS can be accessed through desktop machines and on mobile devices via the device’s browser.

One of the new features of EMS is the ability to make same-day requests for meeting space. EMS will display availability and allow users to request spaces that require no additional setup, changes or services.

Allowances for the de-densification of campus spaces have been made in accordance with the Protect Purdue Plan. Users requesting space are asked to be aware of campuswide social distancing measures implemented in accordance with the plan.
