Performance Evaluation Procedures

General Evaluation Guidelines

In general, all hourly-student employees working for organizational units within the Office of the Vice Provost for Student Life will receive an evaluation of their work performance. Regular, on-going performance feedback to the student employee is expected throughout the year. Additional evaluations may occur as needed (such as at the end of each academic term).

Formal evaluations for a specified evaluation time period will be completed in the Student Employee Management System (SEMS) and tied to merit raise eligibility. These will take place in the spring semester. Guidelines for formal evaluations include:

  • A performance evaluation rating must be assigned for each position a student employee holds.
  • A performance evaluation must be completed within the Student Employment Management System prior to the evaluation close date for a student employee to receive a merit increase.
  • The position supervisor is responsible for ensuring the completion of the evaluation.
  • Students working fewer than 30 total hours during an academic term may be exempt from receiving a formal evaluation.
  • Students who started working after March 1 are not eligible for a merit raise.

Exceptions

Under certain conditions, students may be exempt from receiving a formal evaluation. If a student employee is exempt from receiving a formal evaluation, the form must be closed in the system and a reason must be noted.

Evaluation Criteria

All student employees will share four core performance competencies. While the specific tasks a student performs to achieve theses competencies may differ across positions, the performance behaviors are similar. Core competencies include Communication, Ways of Thinking, Interpersonal Skills & Intercultural Knowledge, and Intrapersonal Awareness & Development. Formal Evaluations Important Dates

  • August 2020 to May 2021 – Evaluation Period. This is the date range in which the student's performance is being evaluated.
  • Sunday, February 28, 2021– Evaluations open in SEMS, and managers can begin completing student employee evaluations and assigning delegates.
  • Saturday, May 22, 2021 – Evaluations close in SEMS, and managers are no longer able to complete or edit student employee evaluations.

Additional Information

FERPA and Data Handling certifications are required to access evaluations in SEMS. If these two WebCerts are not up-to-date, you will need to complete them.

All evaluations must be completed and signed off by the supervisor (or delegate) and student employee. View the SEMS Evaluation Training Guide under Manager Resources for more information and instructions on completing evaluations.
