Retirement Recognition

When an Administrative Operations (AO) employee retires, administrative assistants and managers need to take the appropriate steps to help recognize the retiring employee.

Any Purdue employee who will become an official Purdue retiree is eligible to receive this level of recognition. The official Purdue University retiree definition can be found on the University Policy Office website.

Retirement Form

When a manager is notified that an employee will be retiring, the manager needs to complete the following online form as soon as possible:

The form will automatically be sent to the administrative assistant and HR business partner who supports the employee’s department, as well as the designated financial analyst from the Administrative Operations Business Office (AOBO).

Reception and Plaque

AOBO allots $100 to help cover the cost of a retirement reception and pays the cost of a plaque for the retiree. The administrative assistant will work with the financial analyst from the business office on any necessary expenses.

The employee’s manager should check with the employee for their approval to organize a retirement reception in their honor. If the employee approves, the administrative assistant will work on the invitation list and reception logistics, including location, refreshments and other details. Retirement reception requests require a two weeks’ notice. Any receptions taking place with less than a two weeks’ notice will be the responsibility of the manager to organize.

Contact Awards Unlimited to order the plaque. Plaque requests also require a two weeks’ notice.

Contact their Human Resources partner to confirm the correct years of service dates.

Communication

The employee’s manager should check with the employee before filling out the online form to see if an announcement to all Administrative Operations is desired. The administrative assistant will then work with the HR business partner to gather the employee’s work history. The administrative assistant should forward that information to AO Communications to include in in the announcement, which will also include any retirement reception details. Announcements should only go out when an employee has official Purdue retiree status. Announcement requests also require a two weeks’ notice.

Notecard

The administrative assistant will work with the executive assistant to the senior vice president of Administrative Operations to prepare a congratulatory notecard that should be given along with the plaque to the retiree either at the reception or before their retirement date.
