Merging: When one person has two PUIDs
You need to merge when you find the same person has been set up with two
PUIDs (or more, heaven forbid!), where relationships for a person were not identified
as belonging to the same person when they were created. You will need to merge the
relationships from two PUIDs into a single PUID.
Start by deciding which PUID will be the PUID to keep, and which PUID will be dropped.
It is easier to drop the PUID that has the least data or the fewest relationships,
and merge those relationships into the PUID that has the most data. This process
may require cooperation among system users who have different update capabilities
for the PUID system.
Display the relationship(s) for the PUID to be dropped, on the Purdue Person
Display page. Click the "Delete" link next to the (first) relationship, and then
verify that you wish to delete this relationship. This will delete the relationship
from this PUID, and put the information into a Suspense record.
From here, the merge process is much like processing any suspense entry.
Open up the Purdue Person - Process Suspended Records page for the relationship
which was deleted. This list will have an entry with today's date, showing information
for the relationship which was deleted. Click on the name link to find the matches,
and click on the match for the PUID to be merged into.
On the Purdue Person - Suspense Match Details page, click the "Add" link to add
this relationship to the PUID to be merged into.
If there is no "Add" link on the Purdue Person - Suspense Match Details page,
there will be an "Update" link. This means the relationship already exists for the
PUID to be merged into. Click the "Update" link to update the data for that
relationship with the data from the suspense record.
If the match list on the Purdue Person - Suspended Record Matches page does
not include the person with the PUID to be kept, enter that PUID below the list and
click the "Submit" button. This will display the Purdue Person - Suspense Match
Details page. Click the "Add" link to add the relationship to this person.
