Gather.town Instructions
Instructions for poster session attendees:
- Using Chrome or Firefox, go to the gather.town link.
- You will receive the link to the live gather.town poster session the morning of April 22. Gather.town charges per attendee, so please do not share your login credentials.
- Enter your name (first and last preferably), and change any other settings you would like. There will be a second settings screen asking about your microphone and camera settings.
- To keep the atmosphere as interactive as possible; we ask that you please keep your camera and microphone on, unless listening to a poster presenter.
- After you click the green “Join the Gathering” now button, you are offered a brief tutorial on how to interact. The final step of the tutorial has you walk through a door.
- You are in! You can now move around the virtual poster session with your keyboard arrow keys. When you get close to another attendee, or group of attendees, you will be able to speak and see them, just like if you were in a real room!
- To view a poster, attendees will walk up to the poster and press the “x” key to enter a full screen viewing. While viewing the poster, they will also be able to interact with the presenter.

Poster file type and size guidelines:
Gather.town has specific file type and size guidelines that must be followed for your posters to be viewed as best as possible. Please make sure to follow the below guidelines, and send both the large poster, and the smaller thumbnail version (this allows attendee to preview your poster before directly engaging with you as a presenter.)
Format Restrictions
- Large Poster:
- .png or .jpg format are the only file types that may be used.
- Minimum width is 1000px
- Minimum height is 600px
- Maximum file size is 3MB.
- No transparent background.
- Thumbnail Poster:
- .png or .jpg format
- A copy of the large poster document that has been made smaller.
- Recommended width is half of the main document.
- Recommended height is half of the main document.
Resizing your poster to fit the dimension requirements
- The easiest way to edit the dimensions of a poster is using a slideshow editor such as PowerPoint or keynote.
- With your poster open in PowerPoint, select the Design tab of the toolbar ribbon.
- Select Slide Size icon near the far right end of the toolbar.
- Select Custom Slide Size (or Page Setup on Mac).
- Change the Width and Height to 10.7 in and 6.2 in, and click okay.
- Click Ensure Fit to make sure the resizing does not stretch your poster in an undesirable way.
- Save as a .png or .jpg file and save with this naming convention: YourFirstName_YourLastName_main_poster.png
- Example: John_Fry_main_poster.png
- To create the thumbnail file, repeat the above sizing steps with half of the width and height (5.3 in x 3.1 in), and save with this naming convention: YourFirstName_YourLastName_thumbnail_poster.png
- Example: John_Fry_thumbnail_poster.png
- Once you are done, please email both files to Dr. Nadia Lanman (natallah@purdue.edu).
- Posters that have been accepted for the poster session should be sent to Dr. Nadia Lanman no later than April 14 at 12:00PM EST.
If you have any issues or questions about these instructions or formatting, please email John Fry (johnfry@purdue.edu).
