All student, staff and faculty recruitment processes will transition to SuccessFactors. Currently, staff recruitment is processed through Taleo. Student positions are often hired directly through the business office or Student Employment Management System (SEMS). Most faculty recruitment processes are specific to the college. Transitioning to one system will be beneficial, but challenges may arise through the transition of processes.

How can I prepare for the transition?

  1. Discuss your staff position hiring needs with your talent acquisition representative. The last day to post a position in Taleo is November 26, and activities will then pause on December 14. Supervisors can continue to utilize the candidate pool within Taleo, but all internal and external candidates will not be able to apply for a position through Taleo starting December 14.
  2. Discuss student hiring processes with your business office and others who are currently involved. While the hiring of students will transition to SuccessFactors, the internal departmental process should be considered with respect to the new technology. Questions that may be helpful to ask to facilitate the discussion are listed below.
    • Who do you normally talk to about hiring a student?
    • Who approves the pay amount?
    • Will these people need anything different from supervisors or managers, based on the process in SuccessFactors?

    Today, not all student positions require an offer letter to be issued and signed. With SuccessFactors, students will be required to access a link to complete an application, accept the offer letter and complete new-hire information electronically. It is important they realize how much information will be delivered via email.

  3. Discuss the faculty recruitment process with your leadership, HR representative, business office and HR Careers. Those recruiting faculty positions during the upgrade to SuccessFactors can continue using their current process, especially if vitas have already been collected or candidate selections are underway. All new recruitment needs will be processed through SuccessFactors as of January 2019.

What are some of the change impacts associated with recruitment?

  1. Recruitment starts with a vacant position. If a new position is being recruited, it must be created in SuccessFactors by the department support or supervisor before the act of recruiting may begin.   2. SuccessFactors will provide the opportunity to recruit a new employee while the existing employee is still in the position. This ‘cross-over’ time allows for training, if applicable.
  3. All offer letters will be issued and completed electronically. The same templates used today will be available in SuccessFactors.
  4. The automated process will collect information that is currently obtained via paper forms. The following printed documents will be eliminated: Staff position posting form including information related to the background check, background check for faculty request form, Position Announcement Authorization (PAA), Search and Screen Recommendation form (SSRF) and Request for Search Waiver.
  5. SuccessFactors provides a level of transparency for applicants that easily displays where candidates are in the application/hiring process.

Instructor-led sessions that outline the new recruitment processes and online videos/quick reference guides will be available for supervisors and managers. Training invitations will be issued via email notification.
