Enterprise Asset Management transformation project deploys successfully; ongoing training, help resources available

Due to the hard work and dedication of the transformation team, technicians, supervisors and campus users, the successful deployment of the maintenance portion of the Enterprise Asset Management transformation project was celebrated on October 30. What this means for maintenance work requests (on the West Lafayette campus only) is that all work requests are now submitted, processed and completed through the new SAP functionality.

Temporary pause on specific SAP activities announced

In a recent eList 39 memo to university leadership, Tim Werth, director, business process reengineering, announced a temporary pause on processing certain activities within SAP as the transition team works toward deployment of the Human Capital Management (HCM) project set for April 2018. The pause was instituted to ensure a smooth conversion of data, finalization of the design of the Job Family Structure and the deployment of SAP SuccessFactors which all play significant roles in the HCM transformation.

Automation streamlines new hire processing and onboarding

As we move from SAP to SAP SuccessFactors via the Human Capital Management (HCM) transformation project, a variety of processes will be streamlined.

Today, many of our processes, including our new hire processes, are cumbersome, time-consuming and manually driven as highlighted in President Mitch Daniel’s message. For example, after a person is hired their information is collected on a Personnel Action (PA) form and approved by several people and then routed or hand delivered to central payroll to be manually entered. In addition, there is no formal notification confirming the creation of the employee record in the system.

Account Conversion Pilot Program results receive positive reaction, feedback

Are you ready for easier, simpler account numbers to do business with?

Two introductory documents ‒ General Ledger (Finance) Overview and Introduction to Finance Structure Basics outlined how our current complex account structure could be simplified by redefining and reorganizing those key financial elements, such as fund and cost center. Going from our current structure to the new structure is a huge task, requiring time and effort in converting current accounts to the new account structure. The finance team partnered with business and finance staff from 11 areas across Purdue (seven from West Lafayette, two from Fort Wayne and two from Northwest) to test their strategy through a pilot program.

The Finance transformation team has announced it will offer SAP 101 training on November 29 from 1 to 3 p.m. in Stewart Center, Room 320. Registration is now open.
