Maintenance Common Issues and SAP Tips

Following the Maintenance portion of the Enterprise Asset Management (EAM) transition deployment on October 30, project team leads and department subject matter experts (SMEs) have been meeting to discuss and share feedback concerning implementation. They will continue to meet, gather and release information related to common issues and solutions as well as SAP tips in an effort to assist supervisors and employees throughout the transition period.

Employees are encouraged to follow the escalation process outlined on the Maintenance Help Center when they encounter questions or issues.. Additional common issues and SAP tips are often a direct result of those discussions.

Common Issues

This occurs when requesting supervisor creates and saves work orders for a different department. If they ‘release’ the work order for the different department, it by-passes the supervisor of the responding work center but shows on the technicians.

Solution: Do not release the work order if it is not for your staff.
  • Cost information populates incorrectly when changes to the header level work center happens AFTER the work order has been populated.

    Solution: Identify the correct work center before creating the work order. If you don’t know – use NONE.

  • Changing work center changes the settlement of costs.

    Solution: If you incorrectly receive a work order that should go to a different department, change the work center to NONE and let WRC correctly assign the information.

SAP Tips

Type IR02.

Tip 2 a

Search for or enter Work center.

Tip 2 b

  1. Click the Capacities tab.
  2. Click Capacity.

Click HRMS.

Tip 2d

  1. Click 002.
  2. Double-click Person.

Tip 2e

  1. Back date the Start date a few months.
  2. Click Person text box and click the Possible Entries button.
  3. Choose Search Criteria tab. In this example, Last name – First name is used.
  4. Type search criteria.
  5. Click Execute.

Tip 2f

  1. Click Checkbox to select desired person record.
  2. Record should have End Date of 12/31/9999
  3. Click Copy.

Tip 2g

Verify the Person has been added.

Click Save.

Tip 2h

User receives No Authorization message from SAP when attempting to access data or execute a TCode.

Tip 3a

Execute TCcode /NSU53 immediately from the same transaction screen.

NOTE: Inserting “/n” in front of any TCode provides the ability to execute a new TCode from the current screen.

Tip 3b

  1. Click arrows to open all drop-down folders.
  2. Take a screen shot.
  3. Email screen shot to
  4. In the body of the email explain there is a security issue.
  5. Specify the TCode for which is causing the issue.

Tip 3c

If labor time is entered for an Operation number “0”, the sync will result in an error.

Operation 000 - A

To Fix the Operation 000 Error

  1. Press Labor Time.
  2. Select desired Work Order.
  3. Under Records, select Operation.
  4. Press the Pencil icon.

Issue 3b

  1. Enter Operation number. Each work order has a minimum of one operation, #10. Enter 10 or other VALID operation number, if known.
  2. Press Finish.

Now the time confirmation is saved with Operation 10 and can successfully sync with the server.

To Avoid the Operation 000 Error

To add time:

  1. Press Labor Time.
  2. Select desired Work Order.
  3. Press Plus sign.

  1. Enter Operation number. Each work order has a minimum of one operation, #10. Enter 10 or other VALID operation number, if known.
  2. Select Activity Type.
  3. Enter Actual Time.

Once all information is entered, press Finish.

Sync changes.

Solution: Within TCode IW38 select Completion – Cancel Technical Completion
SAP tip 5
Use T-code IW47 to see time.

Type IW47.


Click to select the In process and Completed check boxes.

In process and completed

Select Entered On date, back dating as needed.

To date defaults to current date.

Type Purdue Alias in Entered by text box.

Enter on date

Click Execute.


List of all time entered between selected dates is displayed.

Determine role is required for position

Supervisor determines role is needed to perform job duties

Review original Add Role to Existing Position Process

Supervisor or administrator completes role request form

Select required roles


Plant Maintenance roles are in the Finance folder structure


Cognos Reporting roles are in the BI – Data Roles and License Roles folders 

For Supervisor role:

  • PM210_000_SUPERVISOR_C
  • PM900_000_PM_REPORTING                                                       

If Cognos reporting is needed, add:

  • BI215_000_ENH_CONSUMER
  • BI150_000_FI_DATA_LEVEL_1
  • BI100_000_HR_DATA_LEVEL_1

For Technician roles:


Note - Due to internal audits and SAP governance, the following roles require additional approval:

  • Any Master Data role requests – sent to Sr. Director of Building & Grounds
    • Master Data Administrator
    • PM: Preventive Maintenance Master Data Administrator
  • Inventory Manager roles
    • Store Room Manager
    • Store keeper
    • MRP Controller

Receive roles

It will take IT Security 1-2 business days to process request. Questions will be directed to request submitter or supervisor.

Use T-code IW45.

In Order field, type Work Order Number.


Press Enter.

Tip 1 a

Click Yes.

Tip 1 aa

Click Save.

Type Reason for Cancellation.

 Click Exit

Change Network SharePoint

Accessible by Members of the Change Network only

Fix It

With the Fix It web application, anyone with a career account and password can notify the proper area of a facility issue. Once logged in, employees are able to utilize the online form to request maintenance service or repairs by building or equipment number. For critical and time-sensitive indoor services, Fix It provides the appropriate phone number to use.
