
{"id":19832,"date":"2024-03-15T07:17:26","date_gmt":"2024-03-15T11:17:26","guid":{"rendered":"https:\/\/qa.www.purdue.edu\/treasurer\/finance\/\/?page_id=19832"},"modified":"2026-03-20T13:40:58","modified_gmt":"2026-03-20T17:40:58","slug":"manual","status":"publish","type":"page","link":"https:\/\/www.purdue.edu\/treasurer\/finance\/business-management\/boso\/manual\/","title":{"rendered":"Student Organizations User Guide"},"content":{"rendered":"\n<div class=\"section sm  \">\n<div class=\"container  \">\n<h1 class=\"wp-block-heading\">Student Organizations User Guide<\/h1>\n\n\n\n<p>Purdue University policy requires that all recognized Student Organizations who have financial activity operate their account through the Business Office for Student Organizations.&nbsp;&nbsp;General financial procedures, including receiving and dispersing of funds are to be made in accordance with policies and procedures as prescribed by the Business Office for Student Organizations.<\/p>\n\n\n\n<p>It is the responsibility of the president and treasurer to review the Financial Procedures manual to be familiar with the policies and procedures for your organization.<\/p>\n\n\n\n<p><strong>All contracts must be reviewed and signed in advance of activities or use of products by the Business Office for Student Organizations.<\/strong><\/p>\n\n\n\n<p>The BOSO staff is available to answer any questions you may have about events; finances; policies and procedures, etc. either in person, through email or by phone,&nbsp;<a href=\"mailto:boso@purdue.edu\">boso@purdue.edu<\/a>&nbsp;or 765-494-6724.<\/p>\n\n\n\n<div class=\"accordion\"><p id=\"title-509115e4-b920-487c-a79a-6f9d0be1255e\" class=\"accordion-title\" aria-controls=\"content-509115e4-b920-487c-a79a-6f9d0be1255e\" aria-expanded=\"false\" role=\"button\">Accountability of Funds<\/p><div id=\"content-509115e4-b920-487c-a79a-6f9d0be1255e\" class=\"accordion-content\">\n<p>Accountability for all funds collected by the student organization is the responsibility of the treasurer.&nbsp; Accountability can be established in several ways:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>The treasurer may maintain a&nbsp;<strong>Record of Dues Collected<\/strong>&nbsp;for club dues, which would include the members name, amount of dues paid, and date of payment.&nbsp; A&nbsp;<strong>Participant Roster<\/strong>&nbsp;may also be used for other activities whenever the club is collecting fees from several individuals.&nbsp;&nbsp;<a href=\"https:\/\/www.purdue.edu\/treasurer\/finance\/business-management\/boso\/forms\/\" data-type=\"page\" data-id=\"16136\">Forms<\/a>&nbsp;are available on the website. &nbsp;The treasurer may choose to issue a &nbsp;numbered receipt for all dues, fees, assessments, and other income received.<br><\/li>\n\n\n\n<li>Ticket Sales: Numbered Tickets; sales online through COOL; or sales through Elliott Hall of Music Box Office.&nbsp;<br><\/li>\n\n\n\n<li>An Inventory &amp; Sales Control Worksheet is generally used by organizations to track inventory of merchandise\/goods for sale.<strong>&nbsp;&nbsp;<br><\/strong><\/li>\n\n\n\n<li>It is recommended that the organization maintain a completed copy of the Inventory &amp; Sales Control Worksheet in their financial records.&nbsp; This report, when completed will provide the organization and its members a record of deposits and a summary of the sales event.&nbsp;<\/li>\n<\/ol>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-e381eb9f-8e58-46f1-a814-cd29fa44fc84\" class=\"accordion-title\" aria-controls=\"content-e381eb9f-8e58-46f1-a814-cd29fa44fc84\" aria-expanded=\"false\" role=\"button\">Accounting Functions<\/p><div id=\"content-e381eb9f-8e58-46f1-a814-cd29fa44fc84\" class=\"accordion-content\">\n<h5 class=\"wp-block-heading\">BUDGETS<\/h5>\n\n\n\n<p>Each student organization should prepare an annual operating budget for internal control and planning purposes.&nbsp; The budget should be reviewed by the president, treasurer and advisor of the club.&nbsp; The treasurer should maintain the budget in the organization\u2019s financial records.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\">RECONCILING STATEMENTS<\/h5>\n\n\n\n<p>Please verify that all transactions on the account belong to your organization.&nbsp; If there are discrepancies, report them immediately to BOSO.<\/p>\n\n\n\n<p>BOSO may make&nbsp;<strong>adjusting entries<\/strong>&nbsp;to the account under the heading Transfers In, Transfers Out, Debits and Credits.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\">AUDITS<\/h5>\n\n\n\n<p>BOSO conducts audits of the financial activity of recognized student organizations.&nbsp; Audits may be conducted during the school year as they relate to specific activities.&nbsp;<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-d612be1e-46ff-4d82-88e7-957e28988c91\" class=\"accordion-title\" aria-controls=\"content-d612be1e-46ff-4d82-88e7-957e28988c91\" aria-expanded=\"false\" role=\"button\">Amazon for Business<\/p><div id=\"content-d612be1e-46ff-4d82-88e7-957e28988c91\" class=\"accordion-content\">\n<p>The Business Office for Student Organizations can set up an Amazon for Business account for your organization. The President and treasurer will have access and can place orders for your organization.<\/p>\n\n\n\n<p>Purchasing can be done at your convenience, any time or location and routes automatically to the business office for approval.  Those purchases are made tax exempt and on a purchasing card that will post as a debit on your account.<\/p>\n\n\n\n<p>When you are ready to set up an Amazon for Business Account email <a href=\"mailto:bosopcard@purdue.edu\">bosopcard@purdue.edu<\/a><\/p>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-6fee1404-e439-46b0-85a5-4062316baf81\" class=\"accordion-title\" aria-controls=\"content-6fee1404-e439-46b0-85a5-4062316baf81\" aria-expanded=\"false\" role=\"button\">Cash Handling Standards<\/p><div id=\"content-6fee1404-e439-46b0-85a5-4062316baf81\" class=\"accordion-content\">\n<p>The treasurer will follow University procedures for collecting cash\/checks on a timely basis.&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Daily if $1,000 or more has been collected.<\/li>\n\n\n\n<li>When $1,000 has been accumulated from collection over a period of days in the same week; or<\/li>\n\n\n\n<li>Weekly when the amount collected is less than $1,000.<\/li>\n<\/ul>\n\n\n\n<p>Student organizations checks and cash held for deposit longer than the normal deposit requirements increase the likelihood of theft, NSF or Account Closed returned check items.<\/p>\n\n\n\n<p>Treasurers should maintain a record of dues collected for membership.<\/p>\n\n\n\n<p>Funds collected by the organization may NOT be used for cash payments of expenses. Petty cash funds are NOT allowed.<\/p>\n\n\n\n<p><strong>Student Organizations can collect income by cash, check or TooCool.<\/strong><\/p>\n\n\n\n<p><strong>Venmo, Paypal, CashApp, or other like services&nbsp;cannot&nbsp;be used to collect funds.<\/strong><\/p>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-a74e27ea-0edc-45a0-b0eb-a37b85b618e5\" class=\"accordion-title\" aria-controls=\"content-a74e27ea-0edc-45a0-b0eb-a37b85b618e5\" aria-expanded=\"false\" role=\"button\">Check Advance and Change Fund Requests<\/p><div id=\"content-a74e27ea-0edc-45a0-b0eb-a37b85b618e5\" class=\"accordion-content\">\n<p>There may be times when your organization may need a check advance or a change fund.<\/p>\n\n\n\n<p>A&nbsp;<strong>Check Advance<\/strong>&nbsp;is an advance of the organization money to be used for large expenses related to organizational needs, (i.e. travel, plane tickets, hotel costs, equipment, etc.).&nbsp;&nbsp; The payment is made directly to the vendor (payee).&nbsp;<strong>Use Expense Code 612&nbsp;<\/strong>when processing your check request in the COOL system.<\/p>\n\n\n\n<p>A&nbsp;<strong>Change Fund<\/strong>&nbsp;may be requested as needed for fund raising projects.&nbsp; Once the event is over the change fund is to be deposited back into the club account.&nbsp;&nbsp;<strong>Use Expense Code 613&nbsp;<\/strong>when processing your check request in the COOL system.&nbsp;<strong>Use Income Code 213&nbsp;<\/strong>when depositing change fund back to student organization account.<\/p>\n\n\n\n<p><strong>Officers will be held responsible for the return of receipts supporting the purchase from the check advance and depositing any unused funds. &nbsp;Accounts will be locked if paid receipts and depositing of unused funds are not returned by the due date noted on the Check Advance\/Change Fund Form.<\/strong><\/p>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-4805a574-935b-4af8-a81e-cf7e33bdb57b\" class=\"accordion-title\" aria-controls=\"content-4805a574-935b-4af8-a81e-cf7e33bdb57b\" aria-expanded=\"false\" role=\"button\">Charity Events<\/p><div id=\"content-4805a574-935b-4af8-a81e-cf7e33bdb57b\" class=\"accordion-content\">\n<p>A student organization may conduct solicitations on behalf of qualified charitable organizations&nbsp;<strong>ONLY AFTER the Activity Form has been submitted and approved.&nbsp;<\/strong>The activity, solicitation and disbursement of funds must adhere to the University\u2019s Charity Policy and financial procedures as outlined by BOSO.<\/p>\n\n\n\n<p>University Regulations Section 4: Student Organizations D weblink:&nbsp;<a href=\"https:\/\/www.purdue.edu\/policies\/facilities-safety\/ivb3.html\">https:\/\/www.purdue.edu\/policies\/facilities-safety\/ivb3.html<\/a><\/p>\n\n\n\n<p>A Charity account will be established with BOSO for the charitable event. All funds raised from the event must be processed through the charity account.&nbsp;<\/p>\n\n\n\n<p>Your intended charitable organization must be a 501C3 non-profit organization.&nbsp;<\/p>\n\n\n\n<p>If an external RSO (one that does not have a BOSO account) conducts a charity event on campus, a charity account with BOSO must be established.&nbsp;<\/p>\n\n\n\n<p>Organizations may wish to split proceeds from their charitable event.&nbsp; The following stipulations for a split charity would include the following:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The charitable organization must receive a minimum of 50% of net proceeds. Expenses can be paid from the proceeds.&nbsp;<\/li>\n\n\n\n<li>The sponsoring organization must clearly advertise the manner in which the charity will be receiving funds, subject to approval by SAO. Donors\/participants must be made aware if all funds are not going to charitable organization advertised.<\/li>\n\n\n\n<li>A split charity letter can be found on the BOSO website. The approval by the charity and the percentage of the split must be noted on the Activity form.<\/li>\n<\/ul>\n\n\n\n<p>See&nbsp;<strong>\u201c<a href=\"https:\/\/www.purdue.edu\/treasurer\/finance\/business-management\/boso\/forms\/\" data-type=\"page\" data-id=\"16136\">Forms<\/a>\u201d<\/strong>&nbsp;for an example of the Non-Profit Agency letter.<\/p>\n\n\n\n<p><strong>Charitable contributions&nbsp;<\/strong><\/p>\n\n\n\n<p>A student organization often wishes to give a donation to organizations or groups outside the University who are recognized by the IRS as 501-c-3 non-profit agencies.&nbsp; Student organizations may use any funds that have been collected by the organization up to $100.00 provided those funds have not been otherwise restricted by third parties.<\/p>\n\n\n\n<p>If the organization wishes to give more than $100.00, the following fund sources are allowable:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Membership dues,<\/li>\n\n\n\n<li>funds that have been contributed by&nbsp;club members for that specific purpose,<\/li>\n\n\n\n<li>funds raised through events conducted under the University Charity Policy (see <a href=\"https:\/\/www.purdue.edu\/policies\/facilities-safety\/ivb3.html\">Regulations Regarding Retailing, Commercial Soliciting, Canvassing, Sponsorship and Marketing Activities on the Campuses of Purdue University<\/a>).<\/li>\n<\/ul>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-7b597ee2-99b3-4ea0-b16d-dfc6d77e1354\" class=\"accordion-title\" aria-controls=\"content-7b597ee2-99b3-4ea0-b16d-dfc6d77e1354\" aria-expanded=\"false\" role=\"button\">COOL Payment Processing<\/p><div id=\"content-7b597ee2-99b3-4ea0-b16d-dfc6d77e1354\" class=\"accordion-content\">\n<ol class=\"wp-block-list\">\n<li>Log into&nbsp;<a href=\"https:\/\/www.coolfaces.net\/COOLPUWL\/Individual\/ShowIndividualPage.aspx\" data-type=\"link\" data-id=\"https:\/\/www.coolfaces.net\/COOLPUWL\/Individual\/ShowIndividualPage.aspx\">COOL<\/a><\/li>\n\n\n\n<li>Choose Organization Name and Account<\/li>\n\n\n\n<li>Click on the \u201cBANKING BUTTON\u201d on the left hand side in the middle of the screen.<\/li>\n\n\n\n<li>Click \u201cPayment in Process\u201d Tab \u2013 Choose \u201cAdd A Payment\u201d Icon.<\/li>\n\n\n\n<li>Check \u201cTransfer to Student Organization\u201d only if making a Transfer\/payment to another club.<\/li>\n\n\n\n<li><strong>Only create one check request per payee.<\/strong>&nbsp;You can add up to 9 line items on check request and attach as many receipts as needed.&nbsp;<\/li>\n\n\n\n<li>Search \u201cPAYEE\u201d from your clubs existing list of payees and select from drop down list, if not found then Choose \u201cAdd Payee\u201d.<\/li>\n\n\n\n<li>Type name of \u201cPayee\u201d in the box and click the \u201cCHECK PAYEE\u201d Button.&nbsp; If the payee shows up in the existing Payee List select the Payee and click the Yellow \u201cSelect Existing Payee\u201d Box.&nbsp; If this is not the payee you want then click the Yellow \u201cRequest New Payee\u201d Box fill in name and address etc. &nbsp;Click Continue and Click Save.&nbsp;<\/li>\n\n\n\n<li>Mark the \u201cHOLD for Pick Up\u201d if you want to pick the check up in the BOSO Office (quickest way to get your check). &nbsp;Next, fill in all blanks on the payment screen with information relating to this payment.<\/li>\n\n\n\n<li>Type on the \u201cCheck Memo\u201d Line what you want printed on the bottom of the check.<\/li>\n\n\n\n<li>Click \u201cAdd Icon\u201d can be used to add multiple lines to payment if needed.<\/li>\n\n\n\n<li>&nbsp;Click Continue<\/li>\n\n\n\n<li>&nbsp;Next attach invoice or receipts for this payment. &nbsp;<\/li>\n\n\n\n<li>&nbsp;Click on \u201cAttached documents\u201d Tab or \u201cUnattached Documents\u201d Tab to add the invoice or receipts to the payment; etc. to the payment. \n<ul class=\"wp-block-list\">\n<li><strong>Files must be PDF or JPG. Max file size is 6MB for PDF and 5MB for JPG.<\/strong><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Choose \u201cAdd\u201d Icon browse computer for documents. Click Save.<\/li>\n\n\n\n<li>Next under \u201cAttach documents\u201d Tab put check mark next to documents, Check mark on Save Box. Click Save.<\/li>\n\n\n\n<li>&nbsp;Save Payment &amp; Click Okay.<\/li>\n\n\n\n<li>&nbsp;If you are the individual being reimbursed, another officer is required to go approve the payment before BOSO can approve.<\/li>\n<\/ol>\n\n\n\n<p><strong>Steps to Approve a Payment in COOL<\/strong><\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Login to&nbsp;<a href=\"https:\/\/sso.purdue.edu\/idp\/profile\/cas\/login?execution=e1s2\" data-type=\"link\" data-id=\"https:\/\/sso.purdue.edu\/idp\/profile\/cas\/login?execution=e1s2\">COOL<\/a><\/li>\n\n\n\n<li>Choose Organization Name<\/li>\n\n\n\n<li>Click on the BANKING BUTTON on the left hand side in the middle of the screen.<\/li>\n\n\n\n<li>Under the PAYMENTS IN PROCESS tab find the payment you want to approve.<\/li>\n\n\n\n<li>Next Click on the Icon with a circle with a Red Checkmark in it next to the payment.&nbsp; Then at the bottom of the page will be the APPROVE Button or REJECT Button.<\/li>\n<\/ol>\n\n\n\n<p><\/p>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-7c510cd6-f88d-4732-b3c6-c8bfffe9ff7e\" class=\"accordion-title\" aria-controls=\"content-7c510cd6-f88d-4732-b3c6-c8bfffe9ff7e\" aria-expanded=\"false\" role=\"button\">TooCOOL E-commerce Storefront<\/p><div id=\"content-7c510cd6-f88d-4732-b3c6-c8bfffe9ff7e\" class=\"accordion-content\">\n<ol class=\"wp-block-list\">\n<li>Log into&nbsp;<a href=\"https:\/\/www.coolfaces.net\/COOLPUWL\/Individual\/ShowIndividualPage.aspx\" data-type=\"link\" data-id=\"https:\/\/www.coolfaces.net\/COOLPUWL\/Individual\/ShowIndividualPage.aspx\">TooCOOL<\/a><\/li>\n\n\n\n<li>Choose Organization Name and Account<\/li>\n\n\n\n<li>Click on the E-COMMERCE BUTTON on the left hand side in the middle of the screen.<\/li>\n\n\n\n<li>\u201cCatalog Items In Process\u201d Tab Next Click on Add Icon<\/li>\n\n\n\n<li>You should already have the image of the item loaded into your computer.<\/li>\n\n\n\n<li>\u201cThumbnail Image\u201d Browse computer for image of item.&nbsp; All items must have image.<\/li>\n\n\n\n<li>\u201cItem Description Brief\u201d of item.&nbsp; Shows on Store Front.<\/li>\n\n\n\n<li>\u201cCategory\u201d choose from drop down menu.<\/li>\n\n\n\n<li>\u201cIncome Accounts\u201d choose from drop down menu.<\/li>\n\n\n\n<li>\u201cSales Tax\u201d is calculated by the income code.&nbsp; When pricing your item you need to mark up your item at least 20% plus shipping costs \u2013 See #16.<\/li>\n\n\n\n<li>\u201cItem cost\u201d &#8211; cost per item.<\/li>\n\n\n\n<li>\u201cUnits\u201d for your item, i.e. each, box, pair, none.<\/li>\n\n\n\n<li>\u201cShipping Costs\u201d are to be calculated by the club.&nbsp; (Make sure and calculate all of your costs involved in shipping the items).&nbsp;&nbsp; The club is responsible to do all shipping.&nbsp; Shipping option is not required.&nbsp; Leave \u201cShipping Cost\u201d blank if no shipping charges.<\/li>\n\n\n\n<li>\u201cShipping Cost Per\u201d choose either item or order.<\/li>\n\n\n\n<li>\u201cStart &amp; End Date\u201d refers to the time period your item is available for sale.<\/li>\n\n\n\n<li>\u201cImmediate Electronic Charge\u201d needs to be checked so the credit card is charged.<\/li>\n\n\n\n<li>\u201cSerialize Item\u201d Order for item has quantity 10, serialization allows the club to track when each of the 10 items are completed. They wanted a way to purchase 10 movie rentals and track when each redemption took place. So serialization allows to track the delivery or use of each item. Serialized items have scanable, unique, barcodes.<\/li>\n\n\n\n<li>&nbsp;\u201cGenerate Certificate\u201d Creates a ticket.&nbsp; Must have image for item and organization loaded to generate ticket.&nbsp; Tickets have scanable, unique, barcodes. This is an add on feature to serialization that just adds the ticket feature.<\/li>\n\n\n\n<li>\u201cItem Description Full \u201cof item.&nbsp; You will want to put the information regarding pickup location of item and other instructions for the customer here in this section, can be in HTML format for email and URL.<\/li>\n\n\n\n<li>\u201cActive\u201d will put the item on your storefront once BOSO audits and approves the item. On\/Off Switch for the Store Front.<\/li>\n\n\n\n<li>\u201cNon Store Front Item\u201d (Should only be checked if given approval to use this item by BOSO staff)<\/li>\n\n\n\n<li>\u201cMembers Only Area\u201d needs to be checked if you want to sell to members only. Customers are required to request membership. Item is restricted to someone who has \u201cMember Only\u201d access.&nbsp; Individual requested \u201cMember Only\u201d access and the club approved it.&nbsp; Item can not be seen by Non-Members.<\/li>\n\n\n\n<li>&nbsp;\u201cLimit to University Email\u201d customers can only purchase if they use their university email accounts.<\/li>\n\n\n\n<li>&nbsp;\u201cAllow Customer Note\u201d needs to be checked if you want the customer to make a note.<\/li>\n\n\n\n<li>\u201cLimit Individual Purchase or Quantity\u201d only if your club wants to limit purchases or quantity per person in a single order. This also checks previous orders for the customer.<\/li>\n\n\n\n<li>\u201cLimit Order Purchase\u201d needs to be checked if you want this for your item.<\/li>\n\n\n\n<li>\u201cLimit Order Purchase Quantity\u201d needs to be checked if you want this for your item.<\/li>\n\n\n\n<li>\u201cNothing to Pickup\u201d\/\u201cPickup Only\u201d refers to item will only be available for pickup.<\/li>\n\n\n\n<li>\u201cAllow item to be Picked Up\u201d no Shipping charges will be charged on item. President, treasurer, advisor or payee may pick up check from BOSO office if marked &#8220;hold for pick-up&#8221;. If not marked, check will be mailed.&nbsp;<\/p>\n\n\n\n<p>Officers can view if check is ready by reviewing &#8220;payments&#8221; tab in the COOL system. If the payment has a document number, the check is processed. The document number is the check number.&nbsp;<\/p>\n\n\n\n<p>Payment requests are submitted online through COOL, My Purdue portal, under the \u201cStudent Services\u201d then BOSO\/COOL Online. The original payment receipts or invoices which support the payment request should be scanned and attached online to the payment request.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>The payment request is submitted by the president, treasurer or advisor. &nbsp;There are two types of payments: Reimbursement to an individual; and payment directly to a vendor for goods and\/or services. The payment request is approved by the submitting officer (president, treasurer or advisor) as long as they are not paying themselves. &nbsp;(See #4)<br><\/li>\n\n\n\n<li>The State of Indiana Unclaimed Property Law requires a&nbsp;<strong>complete<\/strong>&nbsp;U.S. mailing address on each payment request.&nbsp;<strong>The complete address includes apartment number or letter.<\/strong>&nbsp;&nbsp;US Postal Service will NOT deliver mail to an apartment complex without the apartment number or letter.<br><\/li>\n\n\n\n<li>Insure that the account number selected (club may have more than one account; i.e.: SOGA, Reserve) is correct; expense codes, appropriate supporting documentation (itemized receipt or invoice from vendor) are attached. &nbsp;Once reviewed the officer entering the request will submit the payment request. Submit the payment request after checking \u201cemail notification to officers\u201d which will generate an email notifying the other officers of a pending payment request that may need their approval.<br><\/li>\n\n\n\n<li>If one of the 3 authorized officers (president, treasurer or advisor) is seeking a reimbursement on a payment request, the officer to be reimbursed cannot authorize their own payment. &nbsp;A second officer online approval will be needed.<br><\/li>\n\n\n\n<li>If the original receipt or invoice is&nbsp;lost or was not provided by the vendor, a completed lost receipt affidavit is required to verify purchase.<br><\/li>\n\n\n\n<li><strong>Supporting documentation<\/strong>&nbsp;&#8211; Detailed receipts or invoices must be scanned and submitted with your online payment request. &nbsp;You may use your smart phone to photograph the itemized receipt &amp; credit card authorization approving the payment which may include the tip of maximum 20%.&nbsp; Be sure the photo of the receipt can be clearly read.<br><\/li>\n\n\n\n<li>The BOSO staff will audit the online payment request for final approval.<br><\/li>\n\n\n\n<li>The officers have the option to have the check held for pickup or mailed directly to the payee to their US Mail address or to their residence hall.<br><\/li>\n<\/ol>\n\n\n\n<p>****<\/p>\n\n\n\n<p>If a check needs to be voided, please return the check to BOSO if possible.&nbsp;<\/p>\n\n\n\n<p><strong>Destroying a check will NOT return the funds to the club account.<\/strong><\/p>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-d572ea1c-ecfc-4661-b76a-a5cfe0c5a597\" class=\"accordion-title\" aria-controls=\"content-d572ea1c-ecfc-4661-b76a-a5cfe0c5a597\" aria-expanded=\"false\" role=\"button\">Games of Chance \/ Games of Skill<\/p><div id=\"content-d572ea1c-ecfc-4661-b76a-a5cfe0c5a597\" class=\"accordion-content\">\n<p>Student organizations under the fiscal supervision of BOSO may&nbsp;<strong>not<\/strong>&nbsp;conduct games of chance on or off campus.&nbsp; Games of chance include but are not limited to bingo games, raffles, charity games nights, door prize events, or festivals that include prizes from pull tabs, punchboards or tip boards.&nbsp;<\/p>\n\n\n\n<p><strong>All payment requests submitted relating to Games of Chance will be denied<\/strong>.<\/p>\n\n\n\n<p>Student Organizations may conduct Games of Skill.<\/p>\n\n\n\n<p><strong>What is a bona fide game of skill?<\/strong><\/p>\n\n\n\n<p>Bona fide games of skill include games where one can control the results or enhance their abilities through training. Examples include: sporting events, memory games, golf, horseshoes, darts, pool, scrabble, and trivia.&nbsp;<a href=\"http:\/\/www.in.gov\/igc\/files\/Gaming_Control_FAQs.pdf\">http:\/\/www.in.gov\/igc\/files\/Gaming_Control_FAQs.pdf<\/a><\/p>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-6a14bdba-0db0-4ff7-a467-17e5c008ef42\" class=\"accordion-title\" aria-controls=\"content-6a14bdba-0db0-4ff7-a467-17e5c008ef42\" aria-expanded=\"false\" role=\"button\">Gift-in-Kind<\/p><div id=\"content-6a14bdba-0db0-4ff7-a467-17e5c008ef42\" class=\"accordion-content\">\n<p>Donations to the organization also need to be acknowledged on the President\u2019s Office <a href=\"https:\/\/purdue0.sharepoint.com\/sites\/ControllerDocuments\/Shared%20Documents\/General\/Accounting%20Services\/Forms\/GIK%20FORM%2041B.xlsx\" data-type=\"link\" data-id=\"https:\/\/purdue0.sharepoint.com\/sites\/ControllerDocuments\/Shared%20Documents\/General\/Accounting%20Services\/Forms\/GIK%20FORM%2041B.xlsx\">Form No. 41B<\/a>. The organization officers will provide details of the items donated to the organization on behalf of individual donors. A detailed invoice from a vendor\/donor should be attached which includes the value of the item(s). BOSO will submit the signed form to the University Development Office for acknowledgement to the donor.<\/p>\n\n\n\n<p>An officer should sign bottom of form to acknowledge they have received the goods prior to submitting forms to BOSO for processing.<\/p>\n\n\n\n<p>Please contact <a href=\"mailto:boso@purdue.edu\">BOSO<\/a> if you have any questions about donations.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-9cf70d32-a805-40d1-b141-054125a2d64c\" class=\"accordion-title\" aria-controls=\"content-9cf70d32-a805-40d1-b141-054125a2d64c\" aria-expanded=\"false\" role=\"button\">Gifts to Individuals<\/p><div id=\"content-9cf70d32-a805-40d1-b141-054125a2d64c\" class=\"accordion-content\">\n<p>University Regulations state: \u201c<a href=\"https:\/\/www.purdue.edu\/policies\/facilities-safety\/ivb1.html\" data-type=\"link\" data-id=\"https:\/\/www.purdue.edu\/policies\/facilities-safety\/ivb1.html\">Use of University facilities in any manner that results in financial gain, either directly or indirectly, to individuals or non-University organizations or groups is prohibited.<\/a>\u201d Based on this regulation, student organization funds may not be transferred as gifts, charitable contributions, or donations to an individual or donations to groups or organizations whose funds are managed outside the control of Purdue University.&nbsp; &nbsp;<\/p>\n\n\n\n<p><strong>Exceptions to Gift Policy<\/strong><\/p>\n\n\n\n<p>Funds are generated by student organizations from a varied source of activities such as membership dues, activities on campus, activities off campus, donations from individuals, and donations from outside agencies and companies.&nbsp; All funds are collected by the student organization to provide the means to conduct the activities of the club.&nbsp; Funds that are held by a recognized student organization may be expended as approved by the general membership of the organization, provided that the purpose of the expenditure is not in conflict with University regulations and other policy statements of the University.&nbsp;<\/p>\n\n\n\n<p><strong>Gifts in Recognition or Appreciation<\/strong><\/p>\n\n\n\n<p>A student organization often wishes to give a token gift of appreciation to an individual that has provided service or assistance to the club. Organizations may use any funds that have been collected by the organization for this purpose.&nbsp; Gifts would be tangible in nature.&nbsp;<\/p>\n\n\n\n<p>A maximum dollar limit of $100.00 per item, per person, per year, is the allowable total value of the gift.<\/p>\n\n\n\n<p><strong>Cash, cash equivalent, or gift cards or certificates cannot be given as gifts<\/strong><strong>.<\/strong><\/p>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-195479f3-01d0-4857-8747-774bfd75107f\" class=\"accordion-title\" aria-controls=\"content-195479f3-01d0-4857-8747-774bfd75107f\" aria-expanded=\"false\" role=\"button\">Insurance (Liability, Medical, Auto)<\/p><div id=\"content-195479f3-01d0-4857-8747-774bfd75107f\" class=\"accordion-content\">\n<p class=\"has-medium-font-size\"><strong>Liability Insurance<\/strong><\/p>\n\n\n\n<p>Purdue University carries a liability policy covering the activities of student organizations under the direct management of the University and whose finances are under the supervision of the Business Office for Student Organizations.<\/p>\n\n\n\n<p>The policy affords protection to University sponsored student organizations (including their officers and members) while acting within the scope of their duties.&nbsp; Excluded from coverage is any organization not under the direct financial management of the University, any organization whose hazardous activities mandate the purchase of special liability insurance, and activities involving the ownership, maintenance, operation or use of any aircraft.<\/p>\n\n\n\n<p>For some functions and activities, student organizations will be required to submit evidence of a liability insurance policy or obtain special insurance for the event.<\/p>\n\n\n\n<p class=\"has-medium-font-size\"><strong>Medical Insurance<\/strong><\/p>\n\n\n\n<p>Individuals and student organization members involved in student organization activities are responsible for maintaining their own medical insurance coverage.<\/p>\n\n\n\n<p>Risk Management offers a special medical\/accident insurance policy that provides $15,000 of emergency medical and accident coverage that can be purchased for camps, conferences, or field trips.&nbsp; The cost of this insurance is typically less than $0.50 per day\/per participant, and the cost for the coverage is billed to the student organization.&nbsp; Information about this insurance and forms to request coverage can be found under&nbsp; STUDENT, FACULTY, AND STAFF SPECIALTY COVERAGES here (<a href=\"https:\/\/www.purdue.edu\/business\/risk_mgmt\/procedures\/index.html\">https:\/\/www.purdue.edu\/business\/risk_mgmt\/procedures\/index.html<\/a>).<\/p>\n\n\n\n<p class=\"has-medium-font-size\"><strong>Auto Insurance<\/strong><\/p>\n\n\n\n<p>Student Organizations should rent vehicles through the univeristy process outlined in the APF. Please refer to <a href=\"https:\/\/www.purdue.edu\/business\/risk_mgmt\/pdf\/Renting%20a%20Car%20Locally%20and%20International.pdf\" data-type=\"link\" data-id=\"https:\/\/www.purdue.edu\/business\/risk_mgmt\/pdf\/Renting%20a%20Car%20Locally%20and%20International.pdf\">this link<\/a> for auto insurance guidelines provided by Risk Management.<\/p>\n\n\n\n<p>You should also note that if you are towing any trailer (even a university-owned trailer), the liability insurance on the trailer comes from the vehicle doing the towing.&nbsp; <\/p>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-e0cca999-555d-4d89-a0cf-77c67c7ccb8c\" class=\"accordion-title\" aria-controls=\"content-e0cca999-555d-4d89-a0cf-77c67c7ccb8c\" aria-expanded=\"false\" role=\"button\">Interest and Fees<\/p><div id=\"content-e0cca999-555d-4d89-a0cf-77c67c7ccb8c\" class=\"accordion-content\">\n<p>Student organization activity is partially supported by the investment of the collective excess cash balances of the student organizations.&nbsp; These identified funds are invested through the University Investment Department and interest earnings are distributed twice per year to student organizations.<\/p>\n\n\n\n<p>An audit and supervision fee of 1.5% of gross receipts is assessed each organization to partially defray the cost of operation of the Business Office for Student Organizations. <a href=\"https:\/\/www.purdue.edu\/studentregulations\/student_organizations\/financial.html\" target=\"_blank\" rel=\"noreferrer noopener\">https:\/\/www.purdue.edu\/studentregulations\/student_organizations\/financial.html<\/a><\/p>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-71af5395-b9f6-4be1-aa75-5e47ffff9d8a\" class=\"accordion-title\" aria-controls=\"content-71af5395-b9f6-4be1-aa75-5e47ffff9d8a\" aria-expanded=\"false\" role=\"button\">Meals \/ Food \/ Tips<\/p><div id=\"content-71af5395-b9f6-4be1-aa75-5e47ffff9d8a\" class=\"accordion-content\">\n<p>Student organization members are only allowed to expense meals and food to the organization account for those sponsored activities as approved for the benefit of a student organization.&nbsp; <\/p>\n\n\n\n<p>Impromptu dinners and food purchases that may only benefit one or a few members may not be an appropriate use of organization funds and could be construed as a gift or donation to an individual.&nbsp; Expenditures of this nature may require additional explanation and\/or organization approval prior to processing.<\/p>\n\n\n\n<p>Tips can be reimbursed along with cost of meal. BOSO must have proof of payment of tip for reimbursement.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-494ad4e1-0705-4a02-8ed1-cbd0ca47f3de\" class=\"accordion-title\" aria-controls=\"content-494ad4e1-0705-4a02-8ed1-cbd0ca47f3de\" aria-expanded=\"false\" role=\"button\">Officer Changes<\/p><div id=\"content-494ad4e1-0705-4a02-8ed1-cbd0ca47f3de\" class=\"accordion-content\">\n<p><strong>Immediately following the election of new officers, each student organization must complete their registration through BoilerLink.&nbsp;<a href=\"https:\/\/boilerlink.purdue.edu\/\">https:\/\/boilerlink.purdue.edu\/<\/a>&nbsp;&nbsp;Contact SAO by calling 765-494-1231 for the specific registration timeline dates of submission and approval.<\/strong><\/p>\n\n\n\n<p>BOSO will receive notification of registration and will update the President, Treasurer, and Advisor information.&nbsp; Once updated, those individuals have access to account information in COOL.<\/p>\n\n\n\n<p>BOSO enters the officer expiration date provided at registration.&nbsp; Once the expiration date arrives the COOL system will automatically lock the officer\u2019s access.<\/p>\n\n\n\n<p>BOSO will conduct an account closing when an account reaches 3 years with no officers or dissolves.&nbsp; <\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Funds will be sent to another student organization or department as directed by the student organization upon dissolution or their constitution.<\/li>\n\n\n\n<li>Up to $100 may be donated to a charitable organization as defined by SAO\/BOSO policy.&nbsp;See Gift Policy for more details.<\/li>\n\n\n\n<li>Any remaining funds will be swept to the BOSO Inactive Fund.&nbsp; The university reserves the right to use those funds to benefit other SAO activities and services involving Student Organizations.<\/li>\n<\/ul>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-491a504f-ad38-40ac-bf70-b83436052afa\" class=\"accordion-title\" aria-controls=\"content-491a504f-ad38-40ac-bf70-b83436052afa\" aria-expanded=\"false\" role=\"button\">Payee Setup<\/p><div id=\"content-491a504f-ad38-40ac-bf70-b83436052afa\" class=\"accordion-content\">\n<ol class=\"wp-block-list\">\n<li><strong>Before setting up a new payee check to see if they are already in the system.<\/strong>\n<ul class=\"wp-block-list\">\n<li><strong>COOL Main Pag<\/strong>e\n<ul class=\"wp-block-list\">\n<li>Choose the Organization name AND account you wish to use (General, SOGA, etc.)<\/li>\n\n\n\n<li>\u201cPayment in Process\u201d tab is where you will create your new payment request. <\/li>\n\n\n\n<li>&nbsp;Click Add Icon<\/li>\n\n\n\n<li>Type the name of the Payee in the box and click \u2018Search For\u2019 (this will search your organization&#8217;s previously paid payees)\n<ul class=\"wp-block-list\">\n<li>If Payee shows up, continue with payment.<\/li>\n\n\n\n<li>If Payee does not show up, select \u2018Add Payee\u2019 to search the BOSO database.  (second search to search the BOSO database)  \n<ul class=\"wp-block-list\">\n<li>If there is an existing Payee, you will select and continue with payment request.<\/li>\n\n\n\n<li> If there is no Payee, proceed by adding the Payee information.<br><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Required Payee Data<\/strong>\n<ul class=\"wp-block-list\">\n<li><strong>Government Name:<\/strong> (the legal name shown on your ID)&nbsp;<\/li>\n\n\n\n<li><strong>Full Address:<\/strong> Street# and Name, Apartment\/Room\/Unit number (if applicable), City, State, Zip<\/li>\n\n\n\n<li><strong>Contact information:<\/strong> purdue.edu email address for Purdue Students.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Address changes do not require a new payee.&nbsp; Simply note the new address in the \u201cnotes\u201d box and our office will update the payee.<\/li>\n<\/ol>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-e80df0ec-936a-4740-bac3-95c829fb7d4c\" class=\"accordion-title\" aria-controls=\"content-e80df0ec-936a-4740-bac3-95c829fb7d4c\" aria-expanded=\"false\" role=\"button\">Payment to Individuals<\/p><div id=\"content-e80df0ec-936a-4740-bac3-95c829fb7d4c\" class=\"accordion-content\">\n<ol class=\"wp-block-list\">\n<li><strong>Credit\/Debit Card Purchases<\/strong><br><br>When a credit\/debit card is used to purchase items for the organization, the following procedures will be used to reimburse an individual.\n<ul class=\"wp-block-list\">\n<li>An itemized receipt, smart phone picture of receipt, e-purchase receipt or paid invoice must be submitted online through COOL.<s><\/s><\/li>\n\n\n\n<li>Receipt types: itemized cash register tape; itemized paid invoice; or a detailed web receipt for e-purchases.<\/li>\n\n\n\n<li>At restaurants and some commercial vendors it will be necessary to request an itemized receipt prior to placing your order.<\/li>\n\n\n\n<li>The credit\/debit card signature receipt shows method of payment and is not acceptable documentation to process a reimbursement alone.&nbsp; The credit\/debit card signature receipt may show the tip given, but the detailed receipt or invoice is also required as proof of items purchased for reimbursement.&nbsp;<br><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Cash Purchases<br><br><\/strong>If cash purchases are made for the organization, the following procedures will be followed:\n<ul class=\"wp-block-list\">\n<li>An itemized receipt, smart phone picture of receipt or invoice must be submitted to BOSO via COOL with the payment request. The receipt must clearly indicate the charges have been paid.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-b51f2ee7-2824-4299-a375-d4c2a76a3edf\" class=\"accordion-title\" aria-controls=\"content-b51f2ee7-2824-4299-a375-d4c2a76a3edf\" aria-expanded=\"false\" role=\"button\">Payment to Vendors<\/p><div id=\"content-b51f2ee7-2824-4299-a375-d4c2a76a3edf\" class=\"accordion-content\">\n<p><strong>1.<\/strong> <strong>Purchases on Account<\/strong><\/p>\n\n\n\n<p>Some vendors (payees) may have agreed to extend credit at their discretion.&nbsp; These vendors provide an invoice upon delivery or pickup of orders.&nbsp; The invoices are signed acknowledging the receipt of the food\/merchandise by an officer\/member of the organization.&nbsp; It is the obligation and responsibility of the organization to submit the invoice online through COOL to process the payment. &nbsp;Do not wait for a monthly statement to be issued as a&nbsp;<strong>late charge<\/strong>&nbsp;may be incurred.&nbsp;<\/p>\n\n\n\n<p>If the organization maintains an account with a vendor, the vendor generally issues a monthly statement.&nbsp; IN ORDER TO PAY VENDORS (PAYEES) FOR PURCHASES MADE ON ACCOUNT THE ITEMIZED CHARGE SLIPS OR CASH REGISTER TAPES WILL NEED TO BE SCANNED IN WITH THE MONTHLY STATEMENT.&nbsp; Please inform your organization members when charging purchases on an organization account, the itemized receipt will need to be provided to the officers to submit online through COOL.<\/p>\n\n\n\n<p><strong>2.&nbsp; Direct to Vendors (payees)<\/strong><\/p>\n\n\n\n<p>If the organization wishes to make a payment directly to a vendor (payee), the original itemized invoice will need to be scanned and submitted online through COOL.&nbsp;<\/p>\n\n\n\n<p>Note: Per University policy, vendors supplying services or rentals will not be paid a deposit or receive payment until services have been rendered or rentals have been received.<\/p>\n\n\n\n<p>See the <a href=\"https:\/\/purdue0.sharepoint.com\/:x:\/r\/sites\/ControllerDocuments\/_layouts\/15\/Doc.aspx?sourcedoc=%7B96EC3217-7B5F-4EB3-8AF7-3A391F7D244A%7D&amp;file=Vendor%20Reference%20List.xlsx&amp;action=default&amp;mobileredirect=true\" data-type=\"link\" data-id=\"https:\/\/purdue0.sharepoint.com\/:x:\/r\/sites\/ControllerDocuments\/_layouts\/15\/Doc.aspx?sourcedoc=%7B96EC3217-7B5F-4EB3-8AF7-3A391F7D244A%7D&amp;file=Vendor%20Reference%20List.xlsx&amp;action=default&amp;mobileredirect=true\">Vendor Reference List<\/a> for commonly used vendors and payment processing tips.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-54c313c2-5661-4554-a914-2151aefb2273\" class=\"accordion-title\" aria-controls=\"content-54c313c2-5661-4554-a914-2151aefb2273\" aria-expanded=\"false\" role=\"button\">Purchasing Card Procedures<\/p><div id=\"content-54c313c2-5661-4554-a914-2151aefb2273\" class=\"accordion-content\">\n<p>PCARD Check out:<\/p>\n\n\n\n<p>Purchasing cards (Pcards) are available for check out by the President or Treasurer only.&nbsp; A minimum of 2 business day notice is needed to reserve the card. Use of the Pcard is limited to one business day and can only be used for in-store purchasing (not online) at local establishments.<\/p>\n\n\n\n<p>An appointment will be required if you need to make a purchase online.<\/p>\n\n\n\n<p>Please complete the <a href=\"https:\/\/www.purdue.edu\/treasurer\/finance\/\/business-management\/boso\/forms\/\" data-type=\"link\" data-id=\"https:\/\/www.purdue.edu\/treasurer\/finance\/\/business-management\/boso\/forms\/\">Pcard form<\/a> and indicate online or in store purchase and submit to <a href=\"mailto:bosopcard@purdue.edu\">bosopcard@purdue.edu<\/a> to reserve a card or appointment.<\/p>\n\n\n\n<p>Things to Remember:<\/p>\n\n\n\n<p>When returning the card, the wallet should contain all the documents that it contained at the time of checkout. All receipts are submitted at the time the purchasing card is returned.<\/p>\n\n\n\n<p><strong>Purdue is a tax-exempt organization.  Sales tax cannot be charged, except for purchases of catered food and\/or prepared food, such as restaurant meals<\/strong>. A copy of Purdue\u2019s tax ID number is printed in the top left corner of the pcard. In addition, a copy of Purdue\u2019s sales tax-exempt form is in the pcard wallet. <strong>If a purchase is made that incorrectly contains sales tax, the purchaser will be responsible for correcting the error.<\/strong><\/p>\n\n\n\n<p><strong>Purdue University is a Coca-Cola campus<\/strong>. Beverages purchased with student org. funds for public distribution must be Coca Cola products, unless they are being served only to the organization&#8217;s members.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong><em>Prohibited Uses of the Card<\/em><\/strong><ul><li>Alcoholic beverages<\/li><\/ul><ul><li>Gift Cards<\/li><\/ul><ul><li>Furniture<\/li><\/ul><ul><li>Controlled substances\/items<\/li><\/ul><ul><li>Firearms and Ammunition<\/li><\/ul><ul><li>Personal or non-business purchases<\/li><\/ul><ul><li>Copiers, printers, scanners, faxes, multi-function (MFP) devices<\/li><\/ul><ul><li>Toner<\/li><\/ul><ul><li>Cylinder gases<\/li><\/ul><ul><li>Airfare and registration fees (BOSO staff have cards to assist with these purchases)&nbsp;<\/li><\/ul><ul><li>Lodging (BOSO staff have cards to assist with these purchases)<\/li><\/ul><ul><li>Car rental<\/li><\/ul><ul><li>Fuel<\/li><\/ul>\n<ul class=\"wp-block-list\">\n<li>Automatic charges for renewal of prior purchases (ie. memberships, subscriptions, etc)<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-e427a0d5-bc29-440f-bbb2-7c5e09d5f845\" class=\"accordion-title\" aria-controls=\"content-e427a0d5-bc29-440f-bbb2-7c5e09d5f845\" aria-expanded=\"false\" role=\"button\">Payment for Travel Expenses<\/p><div id=\"content-e427a0d5-bc29-440f-bbb2-7c5e09d5f845\" class=\"accordion-content\">\n<p>An Activity Form must be approved prior to the payment of travel expenses. &nbsp;Extended stay and International Travel will require additional approval time by SAO.<\/p>\n\n\n\n<p><strong>1.&nbsp;&nbsp;<\/strong><strong>Prepayment by the Organization \u2013 via Check from Club Account:<\/strong><\/p>\n\n\n\n<p>Payment can be made by a Student Organization check without involving individual member funds by using the following procedures.&nbsp; The following supporting documentation should be scanned and submitted with the payment request through COOL for processing.<\/p>\n\n\n\n<p>Obtain an itemized bill\/invoice from a travel agency showing the total cost for a ticket to and from the destination.<\/p>\n\n\n\n<p>a)&nbsp; Obtain a \u201cconfirmation\u201d from the hotel\/motel showing the number of nights, number of rooms and applicable taxes due for a total cost of the reservation.&nbsp; The hotel business office will fax or email a confirmation out if requested.&nbsp;<\/p>\n\n\n\n<p>b)&nbsp; A check will be issued as a \u201cCheck Advance\u201d payable to the hotel.&nbsp; Upon leaving the hotel you will need to go to the front desk to check out and obtain an itemized hotel receipt that reflects the detailed charges and the payment received.&nbsp;<\/p>\n\n\n\n<p>c)&nbsp; An individual may receive expense subsistence based on the approved Federal and University rates as shown on <a href=\"https:\/\/www.purdue.edu\/procurement\/travel\/regulations\/meals.php\" target=\"_blank\" rel=\"noreferrer noopener\">Purdue&#8217;s regulations website<\/a>.  The club may pay up to the maximum allowable amount or less than the amount shown.&nbsp; (Individuals&nbsp;may not&nbsp;receive both subsistence and reimbursement for actual receipts.)<\/p>\n\n\n\n<p>d)&nbsp; Conference Registration may be paid using a copy of the registration form indicating the amount per member.&nbsp; The names of members should appear on the approved Activity\/Travel Form.<\/p>\n\n\n\n<p><strong>2.&nbsp;&nbsp;<\/strong><strong>Prepayment by the Organization via BOSO Credit Card:<\/strong><\/p>\n\n\n\n<p>BOSO credit card payment may be processed directly to the Payee for the following types of travel related expenses.<\/p>\n\n\n\n<p>a)&nbsp; Hotel\/Motel \u2013 see 1A above for required documentation; In addition you will need to have a list of attendees.<\/p>\n\n\n\n<p>b)&nbsp; Registration fees<\/p>\n\n\n\n<p>c)&nbsp; Transportation i.e. flights, trains, bus (all chauffer driven vehicles).&nbsp; The BOSO credit card may not be used for the rental of personally driven vehicles.<\/p>\n\n\n\n<p>An appointment needs to be scheduled with the BOSO Admin staff to process these payments.&nbsp; The organization must have the full amount available at the time of credit card purchases and have all the information ready upon arrival at BOSO.&nbsp;All expenses must be approved by president or treasurer before BOSO will process payment via BOSO credit card.&nbsp;<\/p>\n\n\n\n<p><strong>3.&nbsp;&nbsp;<\/strong><strong>Payment by the Organization to an Individual:<\/strong><\/p>\n\n\n\n<p><strong>The organization needs to understand there is a risk with prepayment of expenses because of the changing status with individual students involved in the trip.&nbsp; The organization must be willing to accept this responsibility if reimbursement or pre-payment of travel expenses is desired.&nbsp;<\/strong><\/p>\n\n\n\n<p><strong>Any recovery of funds from individual students for prepaid expenses is the total responsibility of the student organization officers.&nbsp; The student records may not be encumbered.<\/strong><\/p>\n\n\n\n<p>Reimbursement for travel expenses is recommended to be processed upon conclusion of a trip.&nbsp; In instances where reimbursement or payment is requested prior to the trip, the reimbursement or payment is generally limited to&nbsp;airfare,&nbsp;train, and&nbsp;registration&nbsp;costs.&nbsp; If an individual has made payment(s) by credit card for transportation (i.e. airline or train) or registration fees and wishes to be reimbursed prior to the trip, the following original documentation is required.&nbsp;<\/p>\n\n\n\n<p>a)&nbsp;&nbsp;<strong>Airfare\/Train<\/strong>&nbsp;\u2013 E-tickets detailing the names of the passengers, payee, dates of travel and amount charged. &nbsp;Each online site is different; therefore this information may be on more than one page.&nbsp; You will need to submit all the pages necessary to include all of the above information.<\/p>\n\n\n\n<p>When a \u201cnon-refundable\u201d ticket is purchased, then the trip is cancelled by the organization or traveler, flight is missed by the traveler, or the ticket is unused for any other reason, the unused ticket will have no value toward the purchase of another ticket after the departure date and time on the ticket.&nbsp; However, the ticket may be exchanged on or before the departure date and time of each ticketed flight segment.&nbsp; Generally the exchange fee is $100 which may be reimbursable with proper documentation and approval of the organization.<\/p>\n\n\n\n<p>b)&nbsp;&nbsp;<strong>Online Registration<\/strong>&nbsp;\u2013 A \u201cConfirmation\/paid receipt\/e-payment\u201d received from the conference or agency detailing the name of the payee, attendee\u2019s name, dates of conference and the fee charged.&nbsp; Each online site is different; therefore this information may be on more than one page.&nbsp; You will need to submit all the pages necessary to include all of the above information.<\/p>\n\n\n\n<p><strong>The following travel expenses can only be reimbursed after the travel has been completed.&nbsp;<\/strong><\/p>\n\n\n\n<p>c)&nbsp;&nbsp;<strong>Parking\/Tolls\/Food\/Gasoline<\/strong>&nbsp;\u2013 Itemized receipts required.&nbsp;<\/p>\n\n\n\n<p>d)&nbsp;&nbsp;<strong>Mileage Allowance<\/strong>&nbsp;\u2013 An individual member may use his private vehicle and be paid up to the maximum allowed by Purdue University per mile.&nbsp; See the regulations for <a href=\"https:\/\/www.purdue.edu\/procurement\/travel\/regulations\/personal-car-usage.php\" target=\"_blank\" rel=\"noreferrer noopener\">personal car usage<\/a> for the rate. Mileage to most common destinations is set by the University.&nbsp; (Individuals may&nbsp;<strong>not&nbsp;<\/strong>be paid for both mileage and actual gas receipts.&nbsp; Approval for mileage or actual gas receipts is noted on the TPF prior to the trip.)&nbsp; Attach a copy of Map Quest to the check request to validate miles traveled.<\/p>\n\n\n\n<p>e)&nbsp;<strong>&nbsp;<\/strong><strong>Students without an approved MVR may NOT receive financial reimbursement.&nbsp;<a href=\"https:\/\/www.purdue.edu\/business\/risk_mgmt\" rel=\"noreferrer noopener\" target=\"_blank\">https:\/\/www.purdue.edu\/business\/risk_mgmt<\/a><\/strong><\/p>\n<\/div><\/div>\n\n\n\n<div class=\"accordion\"><p id=\"title-7291c4dd-9725-427a-9435-1b0941359a38\" class=\"accordion-title\" aria-controls=\"content-7291c4dd-9725-427a-9435-1b0941359a38\" aria-expanded=\"false\" role=\"button\">Purdue University Bills<\/p><div id=\"content-7291c4dd-9725-427a-9435-1b0941359a38\" class=\"accordion-content\">\n<p>Purdue Memorial Union (PMU), RecWell, Hall of Music, work orders and other internal Purdue expenses will be billed through the Purdue University Accounting system.&nbsp;<\/p>\n\n\n\n<p>BOSO will receive the internal posting for the expense and will audit expense. BOSO will then post the expense to the appropriate student organization account. The Indiana Sales Tax Exemption Certificate ST-105 is issued by BOSO based on the information provided by the organization.<\/p>\n\n\n\n<p>Purchases for the benefit of any member of the organization or for any other individual, such as all prepared foods, meals, banquets, lodging or gifts, are not eligible for exemption, unless they are served for a conference.&nbsp; Therefore, sales tax should always be paid when purchasing these items.<\/p>\n\n\n\n<p><strong>2.&nbsp;&nbsp;<\/strong><strong>Selling Items:<\/strong><\/p>\n\n\n\n<p>Student organization conducting sales to members or non-members becomes a retail merchant and must collect sales tax on these sales.&nbsp; The Indiana State sales tax of 7% must be collected by the organization when conducting sales activities.&nbsp;<\/p>\n\n\n\n<p>BOSO calculates the total sales of all student organizations, based on the deposits into the organization account monthly.&nbsp; An electronic notice is sent monthly to each organization wherein a sales tax is assessed.&nbsp; All corrections of entry codes on organization deposits must be made before the 4th day of the month.
