Emergency Procedures

Emergency Repair Procedures:

*Note: When you are using a rental vehicle, please note that you/your department are taking on the liability of the care of the vehicle.  Any damages beyond the normal wear and tear of the vehicle found after the reservation will be at the responsibility of the department renting the vehicle.  This can come in either a direct bill from Transportation Services or a $500 deductible payment from Risk Management, depending on what the cost of repair is.  It is the driver's responsibility to report this to their business office if Transportation Services contacts them regarding any damages found in the post-inspection process.

When emergency services are required for a university vehicle, use only qualified professional services and the following guidelines:

For a minor condition — up to $200:

  • Use the Wex credit card supplied in the key case. If necessary, cash, personal check, or credit card can be used.
  • Always obtain a receipt. Personal expenditures will be reimbursed at the Transportation Service Office upon return of vehicle.

For a major condition — over $200:

  • Get vehicle off the road and to a safe location if possible.
  • Call Transportation Service at (765) 494-2114 or Wex Roadside Assistance 1-866-329-3471.  Follow the prompts for Emergencies, and you will be connected to PUPD.
  • Most vehicles have Roadside Assistance. Look for a sticker in the window, key case, or owner's manual in the glove box for information and phone numbers.
  • If vehicle can be driven safely, continue on your trip as planned, and inform Transportation Service immediately upon returning to campus.

 

Accident Procedures:

 If an accident occurs use the following guidelines:

  • Notify area police immediately — do not leave the accident scene.
  • Get vehicle off the road and to a safe location if possible.
  • Provide assistance at the accident scene. DO NOT RENDER FIRST AID UNLESS PROPERLY CERTIFIED.
  • Exchange information with the other driver(s): by completing the red “In Case of an Accident” form provided in the vehicles glove box,
    • Gather the following items: driver’s name, address, city, state, zip code; driver’s license number, date of birth; license plate number, state, year; make, model, year, color of other vehicle.
  • All accidents are to be reported by the driver immediately to the Transportation Services Department and the University Police Dept.
  • Call Transportation Service at (765) 494-2114. Transportation Service staff will advise you of the necessary procedure to repair or replace the disabled unit.
  • For Wex Roadside Assistance, call 1-866-329-3471.
  • If vehicle can be driven safely, continue on your trip as planned, and inform Transportation Service immediately upon returning to campus.
