Transform Purdue Update

Ready, set, PAUSE for SuccessFactors launch.

Data preparations are underway for the upgrade to SuccessFactors, set to deploy January 1, 2019. All faculty, staff and student employees are encouraged to attend the SuccessFactors Resource Fair from 10:30 a.m. to 2:30 p.m. on November 1 in the South Ballroom of the Purdue Memorial Union to learn more about the upgrade to SuccessFactors. Time-off requests, timesheets and SuccessFactors functionality will be demonstrated throughout the fair.

Non-exempt or hourly paid staff will begin accessing SuccessFactors with the December 24-January 6 pay period. Exempt staff will start using SuccessFactors on January 2. All employees will use SuccessFactors to view pay statements, adjust tax information, edit bank details, request time off and more. Pause activities and dates are being implemented to reduce data conversion risk. Business and central office staff are completing final data validations to ensure that position information — such as time profile and work schedule — is correct when uploaded to SuccessFactors.

Managers are encouraged to review the pause dates and adjust their hiring process timeline. Any December-dated employee actions (such as separations, transfers, change in pay or other appointment changes) should be submitted by the appropriate deadline. All employees are encouraged to complete any personal changes (such as address changes, bank details, etc.) and December-dated leaves or time-off requests within the appropriate timeline.

Here are key dates:

  • Wednesday, October 31, is the last day to create new positions. Only mission-critical positions can be approved and created between November 1, 2018, and January 1, 2019.
  • Monday, November 26, is the last day to post a staff position in Taleo. Other Taleo-related deadlines are:
    • November 9: Existing positions with no changes in responsibilities need to be sent to HR Compensation no later than 5 p.m. in order to be posted in Taleo.
    • December 14: Taleo will pause. Hiring managers can continue to use the candidate pool within Taleo, or they can choose to repost the position through SuccessFactors in January to create a new candidate pool.

Student and faculty recruitment processes will continue during the transition to SuccessFactors. Positions in the middle of the recruitment process can continue through completion. Any new position postings will go through SuccessFactors in January.

  • Tuesday, November 27, is the last day employees can access Employee Self-Service (ESS) within the OnePurdue Portal via OneCampus to update their home address or bank details, change tax information or create an online leave request. This is also the last day managers can access Manager Self-Service (MSS) to approve online leave requests. Business management using MSS to assign new supervisors or chiefs and make fiscal approval adjustments should complete tasks by end of day on November 27. The dashboard used to process student hire/transfer/termination actions will pause Wednesday, November 28.
  • Friday, November 30, is the last day to approve and enter Form 33 leave requests. FMLA leave requests must also be documented by November 30.
  • Thursday, December 6, as noted on the Payroll calendar, is the last day to enter December-dated Personnel Action (PA) forms for exempt staff. Thursday, December 13, is the last day to enter December-dated PA forms for non-exempt staff. All January-dated actions will be entered directly into SuccessFactors.
  • Thursday, December 21, is the last day to complete the I-9 section 2 through the current online system. This also includes the last day to complete reverifications. All reverifications not completed by December 21 will need to be reentered on January 2 through SuccessFactors.
