Protect Purdue Excess Furniture Removal Guidelines

To assist in safely reopening buildings on the West Lafayette campus, building walk-throughs are occurring with a focus on facility seating areas (e.g. classrooms, common spaces, labs).

During these walk-throughs, Radiological and Environmental Management (REM) staff is identifying seating and furniture that needs to be removed or otherwise marked as unavailable for use to achieve appropriate distancing measures.

If seating or furniture will be removed, Building Deputies and departments should work together to determine appropriate storage options with the following considerations in mind: location, storage conditions and inventory methods. 

Storage Guidelines

Whenever possible, departments should use on-site storage space to store departmental assets that have been tagged for removal from their current location. Offices or conference rooms that are not in use due to COVID-19 restrictions may be storage options. 

The storage location should have appropriate environmental conditions for common furniture materials, e.g. wood. Areas with major temperature fluctuations, excessive dust or humidity should be avoided. Ensure items are stored in a safe manner in a location with limited access to individuals.

Tracking Relocated Assets

It is important to maintain an accurate record of departmental furniture and other assets that are temporarily relocated, particularly if the volume of furniture is high or multiple storage areas are used.

Track the owner, original locations (building and room number), storage location(s) and number and description of items. It may be useful to incorporate a color-coding system to keep sets of furniture together.

A template Relocated Asset Tracking Form (PDF) is available for your use. This may be completed printed and filled out or completed electronically. 

Physical Facilities Resources

Physical Facilities has storage space and services available for departments who are unable to store excess furniture on-site or need assistance with the moving process. For assistance moving furniture within the facility or to an external location, the building deputy or business office should submit an SAP notification and note "COVID-19 furniture moving" on the request. For services in departmentally-controlled spaces, submit the notification as a Request for Service (RFS) with appropriate departmental account information provided.

Include the following information in the notification:

  • Building/room of items to be moved
  • Item description and count of items
  • Required date for removal
  • Preferred day/time for pickup
  • Intended storage location (e.g. building and room number or off-site)

Once submitted, a Physical Facilities staff member will contact you to schedule the work.
