Capital Program Planning Process Key Dates

The Capital Program Planning Process guides the development and prioritization of all planned capital construction projects in alignment with the strategic goals of the University. The project lists that colleges/areas submit should include all Repair and Rehabilitation (R&R) projects, construction projects and studies that are planned to be funded in FY20.

Key Process Dates


  • May 1 – Deadline for Central Repair and Rehabilitation (R&R) preliminary draft FY20 project list and estimate requests to be submitted

  • June 29 – Deadline for non-academic areas (excluding Central R&R), i.e. T/CFO, Student Life and Athletics, and regional campuses to submit preliminary draft FY20 project list and estimate requests

  • October 1 – Deadline for academic areas, i.e. Provost excluding Student Life, EVPRP and ITaP to submit preliminary draft FY20 project list and estimate requests; potential R&R Matching Fund projects must be identified on the submittal

  • October 1 – Provost units estimate total unit funding available for FY20 R&R projects

  • December 1 – FY20 Annual Target Budgets for major areas will be communicated by FP&A

  • December 1 – Physical Facilities deadline to return FY20 R&R Matching Fund estimates to West Lafayette campus clients

  • December 15 – FY20 Annual Target Budgets for Provost units will be communicated by Provost

  • December 21 – Deadline for FY20 R&R Matching Fund applications (West Lafayette campus)


  • February 1 – Physical Facilities deadline to return all FY20 completed estimates to clients. Late requests may not be returned by the deadline.

  • February 1 – Deadline for Physical Facilities to notify units of projects selected for FY20 R&R Matching Funds program

  • February 15 – Deadline for Provost units to submit final FY20 projects lists to Provost

  • March 1 – Deadline for all areas to submit final FY20 project lists

  • March 1 – Deadline for FY20 Special Project requests

  • April 1 – T/CFO approval of FY20 system-wide capital program

  • June 1 – Deadline for FY19 Variance requests (can be submitted throughout the year)
