A space analysis may include fit studies, occupancy and utilization reviews, and highest and best use options for spaces across a college or department. Space Administration will also ensure colleges and departments comply with university space guidelines through the audit and assessing process.<\/p>\n\n\n\n<div  class=\"purdue-home-intro-text has-layout-one-left \">\n        <div class=\"section has-gold-background\">\n        <div class=\"container\">\n            \n            <h3 class=\"purdue-home-intro-text__header header-font-united\">Did You Know?<\/h3>\n\n<p class=\"wp-block-paragraph\">The Space Administration team introduced an easy-to-use tool in Spring 2025 to mass upload space changes into the FM:S space inventory database. To find out more and use this functionality, please contact <a href=\"mailto:OccupancyPlanning@purdue.edu\">OccupancyPlanning@purdue.edu<\/a>.<\/p>\n\n\n                    <\/div>\n    <\/div>\n<\/div>\n\n\n\n<h2 class=\"wp-block-heading\">Space Audit Process, Timeline and Training Opportunities<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">In an effort to streamline and speed up campus building space audits, Space Administration implemented changes to the data collection process.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">As of July 1, 2024, building walkthroughs are no longer needed for the audit review process. Building deputies and facility mangers will be sent a spreadsheet to provide space data on their own. This data includes room names, occupants and space types. The data will then automatically be entered into FM:S, the university\u2019s space management software. If additional information is needed, then Space Administration will reach out to schedule a building walkthrough.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Building deputies and facility managers are expected to fill out and submit the spreadsheet within two weeks of receiving the spreadsheet. The sessions provide training for FM:S, including how to record employee location, review floor plans for accurate data and run reports. Anyone who uses the FM:S system to find space, room and floor plan information or request new space is encouraged to take one of the training courses listed below.<\/li>\n\n\n\n<li><strong>New User Virtual Training<\/strong>: This training is an A-to-Z guide to FM:S, the university\u2019s space management software. The course is geared towards new FM:S users with no previous experience or users who need a quick refresher.<\/li>\n\n\n\n<li><strong>Move Management Training<\/strong>: This training provides an exciting new quick and easy way in FM:S to move individuals from one office to another, add a new individual to a room or remove an individual from a room.<\/li>\n\n\n\n<li><strong>Space Audit Template Process Training<\/strong>: This training will demonstrate how to verify the space in buildings is accurately captured.
