University employees' paid time off balances available in ESS starting Wednesday

June 28, 2010

Beginning with the June 30 payroll, Purdue employees with Internet access to Employee Self Service can review their leave balance and usage reports online.

The Payroll Office will launch the new tool -- the Paid Time Off Information/Report -- on Wednesday, which is the final payroll of academic year 2009-10 and a shared pay date for both biweekly and monthly staff. The report is Payroll's response to staff who had been seeking a simple method to track their quota balances and usage.

Position classifications will determine which quota information is available to employees via their Paid Time Off Information/Report tool. It will show:

* Clerical and service employees: The balance and usage of vacation, sick leave and personal holiday time.

* Administrative and professional staff, fiscal year faculty, continuing lecturers, operations and technical (op/tech) assistants: Vacation balances, as well as the days used for vacation, sick leave and personal business days.

All employees can get to their Paid Time Off Information/Reports by logging into the OnePurdue portal with their Purdue career account and password and clicking "Employee Self Service." On the next screen, positioned below "Payment" will be the link for Paid Time Off Information/Report. Click it to access quota information.

The report will replace the quota information currently displayed at the bottom of the employee's online pay statement.

Biweekly paid staff will get their updated Paid Time Off Information/Report each pay day. It will detail paid time off balances for the most recent pay period as well as pay periods for the preceding 12 months.

Monthly paid and op/tech staff will receive their updated Paid Time Off Information/Report on the last day of the month, although the last day may not always coincide with the monthly pay date.

The accrual schedule for faculty, continuing lecturers and administrative and professional staff can be found in Purdue policy C-46 at www.purdue.edu/policies/pages/human_resources/c_46.html. Leave policies for clerical and service staff are explained in C-45 at www.purdue.edu/policies/pages/human_resources/c_45.html.

More information in the form of quick reference cards, frequently asked questions and animated access simulations is available on the ESS gold tab of Payroll website.

Questions about the Paid Time Off Information/Report may be directed to the staff member's business office or to Payroll at timeadmin@purdue.edu.
