SAP Project List Aligns with Strategic Initiatives - 04/21/09

To provide focus and align efforts with the Business Services Strategic Plan and the university strategic initiatives, Business Services senior staff recently identified strategic initiatives. Several are SAP-related. The initiatives are Human Resources (HR) stabilization, Business Warehouse (BW) reporting, and SRM optimization. All three are reflected on the Prioritized Projects Schedule as programs, a collection of related or dependent projects.

HR Stabilization defines open issues around the HR, Benefits, and Payroll modules in SAP. The program provides the hardware and software to complete parallel testing; updates system configuration, functional team training and a learning plan to enable team members to advance and improve their SAP skills; and solves open issues. The Business Services System Support Group expects this program will take 18 months to complete.

The BW Program is composed of related projects designed to enhance the existing reporting environment and introduce the Cognos reporting tool. These should provide the tools necessary to deliver much-needed operational and administrative reporting.

SRM Optimization incorporates three projects. Those are: e-Invoicing–Next 7 to reduce AP staff’s manual keying by electronically entering vendor invoices into SAP; error notification for XML Suppliers to provide a means to monitor order transmissions for failures and receiving vendors’ order acknowledgements; and a review and analysis of faculty workshop issues involving SRM and related business processes.

Forty-six projects appear on the current priority list. Projects listed before the HR Stabilization, BW Program and SRM Optimization initiatives are mandatory, required by outside agents, such as the federal government, or internal by the University. Listed below the three initiatives are projects recommended by the Business Services Advisory Committee and approved by the Business Services Steering Committee.

The BSAC meets monthly to determine which of the requests for SAP system changes, enhancements and fixes to recommend as projects for the SSG. The committee also suggests the order in which those projects should be handled, then presents its recommendations to the BSSC for final approval.
