Setting Up Probation Emails to Automatically Move into a Designated Folder

  1. From the Outlook home screen, click on “File” and select “Manage Rules & Alerts” (located below Automatic Replies and Mailbox Cleanup).

  2. The Rules and Alerts pop-up should become visible. Click on the “New Rule…” button.

  3. The Rules Wizard should pop up. Select “Move messages with specific words in the subject to a folder” then click “Next.”

  4. Next you will need to define the value for “specific words” by clicking the hyperlink in the box labeled “Step 2.”

  5. In the pop-up, list the specific subject as: 

    [PROBATION INITIATIVE] Student Submission

    Then select the text and click “OK.”

  6. Now you will need to define the value for “specified” folder by clicking the hyperlink in the same “Step 2” box.

  7. In the pop-up, select the folder you want the emails to be moved into automatically OR click “New…” to create a new folder for this purpose.

  8. Now that the message condition and folder have been identified click “Next.”

  9. Decide what actions you want the rule to process. “Move it to the specified folder” should be selected. If you have other rules, you may want to also select “stop processing more rules” as well. Click “Next.”

  10. The next screen allows you to make any exceptions to the rule and is not necessary.  Customize exceptions as you see needed. Click “Next.”

  11. In the last step, you can rename the rule (the subject line will automatically become the rule name) and/or choose to run the rule to move any probation notification emails in your inbox into the folder.  Make sure “Turn on this rule” is selected and click “Finish.”
