This process is outlined at&nbsp;<a href=\"https:\/\/www.purdue.edu\/research\/oevprp\/regulatory-affairs\/export-controls\/controlled-graduate-theses.php\" target=\"_blank\" rel=\"noreferrer noopener\">Guidance Document \u2013 Controlled Thesis Submission Process<\/a>.<\/p>\n\n\n\n<p>Your Thesis\/Dissertation review&nbsp;<strong>MUST<\/strong>&nbsp;be an in-person review with a member of the Thesis Office. This includes verifying that all required accessibility elements are present and that the document passes an accessibility check before it is deposited.<\/p>\n\n\n\n<p>Submissions that are reviewed and found to be non\u2011compliant with WCAG 2.1 Level AA standards will be returned to the student for correction. Accessibility compliance is required for final acceptance.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">What This Means for Your Submission<\/h4>\n\n\n\n<p>To meet WCAG 2.1 Level AA requirements, your thesis or dissertation must be created using accessible authoring practices, such as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Headings.<\/strong> Your thesis or dissertation must use built\u2011in heading styles (for example, Heading 1, Heading 2, Heading 3) to show the structure of the document. Headings are not just visual formatting. They create a navigable outline that screen\u2011reader users rely on to move through your work.<\/li>\n\n\n\n<li><strong>Color Contrast.<\/strong> All text, charts, graphs, and figures must have enough contrast between foreground and background colors so they can be read by users with low vision or color\u2011vision deficiencies. For normal text, WCAG\u202f2.1 Level\u202fAA requires a contrast ratio of at least 4.5:1 between text and its background. Color should never be the only way information is conveyed.<\/li>\n\n\n\n<li><strong>Alternative Text.<\/strong> All meaningful images, including charts, graphs, diagrams, and figures\u2014must include alternative text (alt text) that describes the information the image conveys. Complex images require a two\u2011part text alternative. The first part is a short description that identifies the image and, when appropriate, directs readers to the long description. The second part is the long description itself, which explains the key information the image communicates.<\/li>\n\n\n\n<li><strong>Accessible Tables.<\/strong> Tables must be created using Word or LaTeX\u2019s built\u2011in table tools, not by using tabs, spaces, or images of tables. Tables should have a simple, logical structure, with clearly identified row and\/or column headers so screen readers can correctly associate data cells with their headers.<\/li>\n\n\n\n<li><strong>Logical Reading Order.<\/strong> The logical reading order must be manually checked to ensure that a screen reader will read content in the same order a sighted reader would expect. If your final submission is a PDF, it must be a tagged PDF. Tags provide the underlying structure (headings, paragraphs, lists, tables, figures) that assistive technologies use to read the document correctly.<\/li>\n\n\n\n<li><strong>Selectable Text.<\/strong> All text in your thesis or dissertation must be real, selectable text, not scanned images of text. Screen readers cannot read scanned text unless it has been properly converted using OCR, and OCR errors often make documents inaccessible.<\/li>\n<\/ul>\n\n\n\n<h4 class=\"wp-block-heading\">Recommended Tools for Checking Accessibility<\/h4>\n\n\n\n<p>Students are encouraged to use the following tools when preparing their document:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Microsoft Word Accessibility Checker (for Word\u2011based documents)<\/li>\n\n\n\n<li>Adobe Acrobat Accessibility Checker (for PDF documents)<\/li>\n<\/ul>\n\n\n\n<p>Running these checks early and addressing issues throughout the writing process will help avoid delays at the time of deposit. However, automated accessibility checkers are not sufficient for confirming compliance. Manual checks are still needed to ensure that the thesis or dissertation file meets all WCAG 2.1 Level AA standards including color contrast requirements and logical reading order.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Timing and Impact on Graduation<\/h4>\n\n\n\n<p>Accessibility compliance is a required component of the thesis and dissertation deposit process. Students should plan adequate time to address accessibility issues before their final submission deadline. Failure to submit an accessible document may delay acceptance of the thesis or dissertation and could impact graduation timelines.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Additional Support<\/h4>\n\n\n\n<p>Students are encouraged to review these materials early in the writing process.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Purdue Libraries offers a <a href=\"https:\/\/guides.lib.purdue.edu\/digitalaccessibility?_gl=1*1tm95kp*_gcl_au*NjU4MzE2MTg1LjE3NzQ4NjkzODM.*_ga*NjQzMTYzNzg4LjE3NzQ4NjkzODM.*_ga_PF1CYQ27F6*czE3NzQ5MTc1MjQkbzQkZzEkdDE3NzQ5MTc3OTckajU3JGwwJGgw\">Digital Accessibility Skills Resource Guide<\/a> to support the creation of accessible digital content.<\/li>\n\n\n\n<li>FAQs and accessibility resources are available on the <a href=\"https:\/\/www.purdue.edu\/innovativelearning\/tools-resources\/accessibility\/ada-title-ii-compliance-faqs\/\">ADA Title II Compliance FAQs<\/a> webpage provided by Innovative Learning at Purdue University.<\/li>\n\n\n\n<li>The <a href=\"https:\/\/www.purdue.edu\/innovativelearning\/tools-resources\/accessibility\/assistive-technology-lab\/\">Assistive Technology Lab (ATL)<\/a> provides assistive technology resources to support faculty, staff, and students with accessible information access and computing.<\/li>\n<\/ul>\n\n                <\/div>\n            <\/div>\n        <\/div>\n    <\/div>\n<\/div>\n\n\n\n<div class=\"purdue-accordion-wrap  purdue-accordion-wrap--small\">\n    <div class=\"section has-black-background has-padding-top-none has-padding-bottom-none has-no-sidepadding\">\n        <div class=\"container\">\n            <div class=\"purdue-accordion has-no-bottomborder\">\n                <h3 class=\"accordion__heading purdue-accordion__title  purdue-accordion__title--small\" id=\"title-082ddbc8-5952-4b8a-8f29-7abadaa5ffb7\">\n                    <button aria-controls=\"content-082ddbc8-5952-4b8a-8f29-7abadaa5ffb7\" aria-expanded=\"false\">The Deposit Process<\/button>\n                <\/h3>\n                <div class=\"accordion__content purdue-accordion__content\" id=\"content-082ddbc8-5952-4b8a-8f29-7abadaa5ffb7\">\n                    \n\n<p>1. Complete the Electronic Thesis Acceptance Form (ETAF) and Required Surveys<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The ETAF should be initiated after your final defense and will be available through your Plan of Study portal. You will not be able to make any edits to a submitted ETAF. If your selections need editing, contact us. Please allow AT LEAST 2 business days the ETAF to be signed by all committee members and to receive departmental approval.<\/li>\n\n\n\n<li>The Processor of the ETAF will process your form once you\u2019ve completed step 2 of the deposit process and complete the required survey(s).<\/li>\n<\/ul>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p>A helpful guide to initiating your ETAF is available here:&nbsp;<a href=\"\/academics\/ogsps\/thesis\/wp-content\/uploads\/sites\/6\/2026\/02\/Student-Instructions-Thesis-Acceptance-Form_2026.docx\">Student Instructions for Initiating the Thesis Acceptance Form (DOCX)<\/a>.<\/p>\n<\/blockquote>\n\n\n\n<p><strong>Doctoral candidates<\/strong>&nbsp;need to complete OGSPS Exit Questionnaire and the Survey of Earned Doctorates before their defense.<\/p>\n\n\n\n<p>All surveys will become available to complete on the candidate\u2019s Plan of Study portal during the semester in which they register as a candidate for graduation.<\/p>\n\n\n\n<p><strong>Master\u2019s candidates<\/strong>&nbsp;need to complete OGSPS Exit Questionnaire before their defense.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">2. Submit your ETD to Hammer Research Repository&nbsp;(HammerRR)<\/h4>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Once your ETAF has been approved through the Thesis Form Head, you will receive an email with instructions on how to upload and submit your final deposit to HammerRR. At this point, you will be able to log-in to your Plan of Study portal and find the link to submit your thesis to HammerRR.<\/li>\n\n\n\n<li>After you\u2019ve created a profile and have uploaded your ETD, a staff member of the Thesis &amp; Dissertation Office will review your submission for any formatting errors and will contact you regarding necessary changes. This process will continue until you have met a satisfactory formatting condition, after which, you will receive an email regarding the acceptance of your ETD to OGSPS.<\/li>\n\n\n\n<li>You must upload your thesis or dissertation to HammerRR at least 24 hours in advance of the&nbsp;<a href=\"https:\/\/calendar.google.com\/calendar\/embed?src=gradschooldates%40gmail.com&amp;ctz=America%2FNew_York\" target=\"_blank\" rel=\"noreferrer noopener\">Deposit Deadline<\/a>&nbsp;to allow our staff adequate time to review your submission. <strong>ETAF 9 must be approved by the 5pm deposit deadline. <\/strong>The thesis or dissertation must be in acceptable condition before the ETAF 9 is approved by OGSPS. If formatting revisions are needed, the thesis\/dissertation will be returned to the student for editing. If the revised copy is submitted after the deadline or additional revisions are needed once the deadline passes, the ETAF 9 will not approved and the deposit will be considered late.<\/li>\n<\/ul>\n\n\n\n<h4 class=\"wp-block-heading\">3. Pay the Deposit Fee<\/h4>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Master\u2019s Thesis Fee $90.00<\/li>\n\n\n\n<li>Ph.D. Dissertation Fee $125.00<\/li>\n<\/ul>\n\n\n\n<p><strong>Purdue West Lafayette and Indianapolis Campus<\/strong><br>West Lafayette and Indianapolis candidates will pay the deposit fee through their myPurdue accounts.
