Innovation to Reality (I2R) FAQs

Applications

Is the I2R program open to boys?

All events/programs in the Women in Engineering Program (WIEP) are open to both male and female participants. While some of our programs, such as summer camps and Introduce a Girl to Engineering Day (IGED), are designed more specifically for female students, I2R is designed for both male and female students.

I do not have a computer at home or have access to a computer regularly.  What should I do to complete the online application?

WIEP understands that everyone does not have access to a computer and the I2R Assistant Director is more than happy to accommodate you by mailing hardcopies of information to a home address or P.O. Box. Please call the I2R Assistant Director 1 (765) 496-7442 to discuss the best means of communication for you as soon as possible.

I submitted all of my application materials a week ago and have not received any notice of if my application was received, if my enrollment is confirmed and/or notice if the session is full. Should I call or email to check on this?

Please allow at least 10 business days (2 weeks) after your materials were sent to the WIEP office for processing and for an email from the I2R Assistant Director confirming receipt of required materials. Confirmation of enrollment will be sent out approximately 2 weeks prior to the start of the I2R session. The I2R Coordinator may take longer than usual to reply during periods of high volume of applications and emails.

I changed my email address OR typed my email address in the online application incorrectly OR submitted an email address on the online application that I do not check regularly OR I placed my child’s email address in the field marked “parent email address,” what do I do?

In all of the above instances, please email the I2R Assistant Director immediately stating that you would like your email address changed from X@this.com to Y@that.com. This will ensure that you receive all follow up information from us about your application in a timely manner.

My child would really like to be enrolled in an I2R session with their friend. What can I do to increase the chances?

We understand that friends would like to be together, so here are some things that you can do to increase the possibility of your child being enrolled with his/her friend (bearing in mind that we cannot hold spaces for anyone to be fair to everyone who applies and that even by following the guidelines below, there is no guarantee that friends will be placed in the same session):

  1. Fill out the online application near the same time.
  2. Mail all of the necessary application materials to WIEP within the same timeframe OR mail application materials together in the same envelope.
  3. Mark the same I2R sessions as the primary choice on the online application form (when applications for multiple I2R sessions are open at the same time).
  4. If your child is interested in multiple I2R sessions, mark the same I2R sessions as the second and third choice (when applications for multiple I2R sessions are open at the same time).
How do I select my primary and secondary I2R session choices on the online application (applies ONLY when applications for multiple I2R sessions are open at the same time)?

Instructions will be found on the online application when applications for multiple I2R sessions are open at the same time, but here are two examples:

Example 1: I would like to participate in only one session, but I am willing to participate in another session that is not my top choice if spaces are not available for my top choice. I am very interested in the Energy session and kind of interested in the Food session.

Your ranking: Energy Session- Primary, Food Session- Secondary

In Example 1, the applicant has listed only two I2R session choices. WIEP will try to honor these choices if vacancies are available for each.

Example 2: I would like to participate in as many sessions as possible, but I do have a preference for some sessions over others. I am very interested in the Energy session, kind of interested in the Food session, and curious about the Climate Change session.

Your ranking: Energy Session- Primary, Food Session- Secondary, Climate Change Session – Third Choice

In an Example 2, the applicant is has listed three I2R session choices. WIEP will try to honor these choices if vacancies are available for each.

If I am interested in multiple I2R sessions and have been confirmed for enrollment in my primary I2R session choice, how do I know if I am admitted to my second and third I2R session choice?

NOTE: this applies ONLY when applications for multiple I2R sessions are open at the same time. After the enrollment deadline in each session has passed, applicants with 2nd or 3rd choices will receive an email stating that space is available for their 2nd or 3rd choice of I2R session AND instructions for the applicant to confirm enrollment in their 2nd or 3rd  choice I2R program by a specific deadline.

If I am interested in multiple I2R sessions and my primary session choice is at a later date than my second session choice, how will I be enrolled in my second I2R session choice?

After all application materials have been received from the applicant, the applicant may be confirmed for enrollment in their primary session (pending availability of spaces). The applicant will then be invited to confirm enrollment in their second session choice after the application deadline AND the refund notification deadline have passed for the second choice (pending availability of spaces).

Example:

Student’s primary choice- “The Energy Game: We've Got the Power!”

Student’s second choice- “Edible Engineering: The Life Cycle of Food”

Assuming all application materials were received and space was available, this applicant would be confirmed for “The Energy Game: We’ve Got the Power!” After the deadline, spaces remained available and the applicant received an email invitation to accept enrollment in “Edible Engineering: The Life Cycle of Food.”

I have already received confirmed enrollment for an I2R session from the I2R Coordinator, but can I switch to another I2R session?

It is unlikely that you will be able to switch to another I2R session once you have been enrolled unless space remains available in another session. If there is a pressing circumstance involved in asking to move your child to another session, please contact the I2R Assistant Director as soon as possible.

I2R FAQ Example

Attendance Policy

My son/daughter is enrolled in another extracurricular program at school (band, football, etc.) and they will only miss one day of their chosen I2R session, is it OK if I apply to the session?

We ask that you do not apply for an I2R session if you are aware that your son/daughter will be absent due to extracurricular activities. Please apply to another I2R session that does not conflict with your child’s extracurricular activities. The reason is that the I2R team has planned excellent activities that build upon one another for your son/daughter to learn about engineering and missing a day places your child and their student team at a disadvantage.

Only under unforeseen extracurricular circumstances (e.g., playoffs, nationals, etc.) are absences excused, and the I2R Assistant Director must be notified as soon as possible of these circumstances.

I will need to pick-up my child early from the I2R session because we have another obligation soon after the evening meeting ends, is that OK?

Picking up your child early from an I2R session is strongly discouraged. The I2R team has planned excellent activities that build upon one another for your son/daughter to learn about engineering and missing activities puts your child and their student team at a disadvantage.

Only under unforeseen circumstances (e.g., illness, emergency) is early departure acceptable, and the I2R Assistant Director must be notified as soon as possible of these circumstances.

My child has participated in the I2R Closing Celebration in the past, can I skip the Closing Celebration in the 5th week for another engagement?

Skipping the Closing Celebration is an absence, and absences are not permitted in I2R. The Closing Celebration is the best part-of the program with lots of fun, food, and presentations by all of the student participants. This is an opportunity for the students to share with their friends, family, and teachers what they have learned about engineering.

I2R FAQ2

Miscellaneous

I would like to apply to the program but I do not have any guaranteed mode of transportation for my child. Does WIEP provide transportation?

For liability reasons, WIEP is not able to provide transportation at this time. The only option we have currently is a voluntary carpool sign-up noted in the Parent Application Packet. Based on the carpool listing, there may be an opportunity for your child to be transported to and from the program by another parent whose child is in the same session.

Can I send snacks with my child for the snack break during the I2R session?

Yes, however, snacks are not necessary as WIEP provides snacks for all participants. Your child will only be able to eat their snack from home during the designated snack break. If you are considering providing snacks for your child, please choose those that are wrapped individually and can be disposed of easily (granola bars, etc.)

I changed my email address OR typed my email address in the online application incorrectly OR submitted an email address on the online application that I do not check regularly OR I placed my child’s email address in the field marked “parent email address,” what do I do?

In all of the above instances, please email the I2R Coordinator immediately stating that you would like your email address changed from X@this.com to Y@that.com. This will ensure that you receive all follow up information from us about your application in a timely manner.
