Vehicle Reservations

Transportation Services offers fleet vehicles, which may be rented by approved drivers for University business.

Transportation Services offers three options for rental vehicles:

  • 5-passenger cars
  • 7-passenger vans
  • 12-passenger vans

Vehicle reservations for parties other than student groups require a Form 1 to be submitted via email to transportation@purdue.edu.

The Form 1 requires acknowledgement of a driver's certification by signature. Additional information regarding the approved driver process may be found by visiting the Office of Risk Management website. By signing the Form 1, the driver certifies: 

  • He or she holds a valid U.S. or Canadian driver’s license.
  • Only approved drivers who meet all requirements are authorized to drive the vehicle.
  • The vehicle will be used only for approved University business.
  • The vehicle will be driven in accordance with state and local laws and regulations, and in a courteous manner that positively represents Purdue University.

Student Organizations 

All student organizations, including club sports, must include vehicle rental request information in their Activity Planning Form (APF). The form and additional information on student organization/club sport vehicle rentals can be found on BoilerLink

Towing a Trailer or Equipment

If trailer towing capacity is required for your trip, please review Guidelines for Towing a Trailer. Call 765-494-2114 to have a towing request reviewed by a shop manager prior to vehicle reservation. The towing charge will be added to the per-mile charge of a vehicle when that vehicle is towing a trailer or other equipment.

Driver Requirements

All drivers must be approved through Risk Management in order to driver a Purdue vehicle. Faculty/Staff who drive less than three times/week and driving is not part of their job description may self-assess with the chart on Risk Management's vehicle use page. All others who drive often and/or it is a part of their job description and all students are required to be on the approved driver list from Risk Management.   • All persons who will operate a vehicle on University business or for any other University purpose must meet the Qualification Requirements and Procedures Application to all drivers as outlined in section 1.1 of the Vehicle Use Policy

Miscellaneous Charges 

Miscellaneous charges may be assessed for different situations and may include excess cleaning or vehicle repairs.

Changes/Confirmations 

Notify Transportation Services at 765-494-2114 of any changes regarding the scheduled trip or to confirm reservations as far in advance as possible.

Cancellations 

Notification of vehicle rental cancellations must be communicated to Transportation Services at least 24 hours prior to the vehicle’s scheduled pickup time, if possible. Charges may apply if a reservation is canceled with less than 24 hours notice.

Pick-up Times

  • Keys may be picked up and returned 24 hours a day, 7 days a week via the automated kiosk at Transportation Services, located at the Materials Management and Distribution Center, 700 Ahlers Drive, West Lafayette.
  • If a vehicle is returned after-hours, Transportation Services may not have the opportunity to inspect and/or clean the inside of the vehicle before the next scheduled pick-up time.
  • The Transportation Services office is open from 7:30 a.m. – 4 p.m., Monday through Friday.
  • The lobby closes daily from 12-1 p.m.

Vehicle Return Procedure 

It is critical that fleet vehicles and keys are returned properly by the time scheduled on the submitted Form 1 to accommodate other rental requests.

  • Immediately contact Transportation Services if the vehicle or keys will not be returned by the prescheduled time at 765-494-2114.
  • Please refuel the vehicle before returning the keys.
  • Before exiting the rental vehicle, write down the ending mileage and the parking space number where the car is parked. This information must be entered into the kiosk to complete the key return process and conclude vehicle rental charges.
  • Transportation Services is not liable for personal items left in a rental vehicle after it has been returned. If personal items are found, Transportation Services will hold these items for two weeks before sending them to Central Lost and Found.
  • Parking and toll charges assessed to Transportation Services must be reimbursed through the driver's business office. 
  • Note any rental vehicle damages or issues in the comments section of the key return kiosk.
