It is very important that you always include all the fonts and graphics that were used in the creation of your document. There can be several versions of the font you used on the market. If we do not have that exact version, your layout may change. Even Times has more than one version.

Why do we need your fonts and graphics?

When you place a graphic and you can see it within your document, that is not an indication that your graphic is "included" in your file. If your graphics have not been sent along with your InDesign, PageMaker or Quark file, the images can become pixelated, or may not print at all. As a result this can slow your job down and cause it not to be printed on time.
If you are not sure what we mean by graphic files, or are not sure of their extensions, see the section on "Common Graphic Types" for more information.

Locating fonts and Graphics - PC Fonts, MAC Fonts

When locating your fonts, there is a difference between where you will find them on a MAC or PC so please select the proper computer system for information concerning locating and copying fonts.
 
PC Fonts

PC fonts are usually located on the C: drive within the operating system folder. For example:
C:\windows\fonts\. This path refers to the location on your hard-drive C that you will find your fonts. First click into the Windows directory, then within that folder you should see a folder labeled Fonts, within that directory you should be able to find all your fonts.

When copying your fonts to a disk for transportation to Printing Services, all you need to do is select the fonts you used. Once you have located all the fonts, select (under the edit menu at the top of the screen) Copy, then locate the disk that you will be saving these to and click on it. With the disk highlighted select Paste (also under the Edit menu) and all the fonts you had highlighted will now be copied to your disk.
 
MAC Fonts
Any installed font will be located within the System folder on your hard-drive in a folder named "fonts." If you use a font management utility, any fonts not located within your system fonts folder will be located in your personally designated fonts folder.
Once your fonts have been located, you will need to drag and drop them to your zip/floppy disk for transport to Printing Services. Copying a font, is just like copying any other file. (Copying to the floppy or Zip disk will not remove the files from your computer.)
 
Converting Text To Paths/Outlines

In the case of publications created in Illustrator or Freehand, (including logos and graphic art) it can be to your advantage to turn your text into paths/outlines. That way the computer sees your text as an image rather than a font. In the case of logos or graphics, you should always convert your text.

If you have finalized your design and edited your text to your satisfaction, you will want to then convert all your type to paths/outlines.
*Once converted the text cannot be edited. So keep your original document saved so you can go back and make changes if necessary.

Adobe Illustrator -
With the type boxes selected (using the selection tool, not the type tool) go under the Type menu, scroll down to "Create Outlines" and click. This will convert your text. To make sure it doesn't get shifted by accident, go under the Object menu, and select Group. Save your document as an EPS and be sure to include any bitmap images (jpeg, tiff, gif ) used in the creation of the document on disk with your job.

Macromedia Freehand -
With the type boxes selected, go under the Text menu, and select "Convert to Paths." Now your text has been converted. Save your document as an EPS and be sure to include any bitmap images (jpeg, tiff, gif ) used in the creation of the document on disk with your job.
 
InDesign Utilities

InDesign has a wonderful feature called "Package." This feature will save you lots of time and help to insure your document prints the way you see it on your screen. It automatically checks your links, fonts and graphics and saves them all conveniently into one folder.

How to use this feature:

1. Open your document in InDesign.
2. Click File and scroll down to Package.
3. From there, you will have the option of giving a description of your job..
4. Once you click on continue, you will see a screen that will ask where you want a folder to be made to hold all of your documents information. Be sure that at least the Copy Fonts (roman only), Copy Linked Graphics, and the Update Graphic Links In Package boxes are checked.
5. Click save and you are finished.
 
PageMaker Utilities

PageMaker also has a wonderful feature called "Save for Service Provider." This feature will save you lots of time and help to insure your document prints the way you see it on your screen. It automatically checks your links, fonts and graphics and saves it all conveniently into one folder.

You may want to print this screen so you can follow along while you are in PageMaker

How to use this feature:

1. Open your document in PageMaker
2. Click Utilities and scroll down to Plug Ins and then down to Save For Service Provider (second to last selection).
3. Click Preflight Pub (if anything comes up about a non-postscript printer just click OK.) it will now check your links and fonts.
4. At this point it will tell you by either a red "x" or green check-mark how your files are. Anything with a red "x" will need to be fixed by clicking on the red "x" or appropriate tab. Click Relink All to fix any problems.
5. In the lower left hand side of the screen, click Package.
6. Select the location to save your file. If you are saving it to a Zip, select your disk, if you will be FTPing the file, make a new folder, preferably on the root of your Hard Drive.
7. Check Copy Fonts, All, and Update Links in Source Pub Before Packaging.
8. Click Save, and then Close when it is done.
