adjusted balance Adjusted balance is calculated by adding the beginning budget balance and total adjusted budget changes. This field is found on the SMUR income statement and RIO income statement.
beginning budget balance Original July 1 recurring budget.
budget document type (DT) This field is found on the SMUR monthly budget changes report, the RIO monthly budget changes report, and the FSSR monthly budget changes report. It indicates the type of document for the transaction. Its values include changes (CHGS), changes with JV (CHJV), supplement (SUPL), original (ORIG-system generated), or carry forward (CFWD-system generated). Click here to view the FMBB reference card. budget type (BT) This field indicates whether the transaction is recurring (REC), nonrecurring (NREC), or grant-related (GM01). It is found on the SMUR monthly budget changes report, the RIO monthly budget changes report, and the FSSR monthly budget changes report.
cash balance In standard monthly user report balance sheets and account balance list reports, a cash balance represents assets, excluding invested temporary invested funds (TIF) and capital equipment. Note: In the account balance list report, a cash balance is not applicable on budgeted or grants management accounts. These accounts will display a zero cash balance.
commitment item A numerical system for categorizing financial activities in SAP; also known as a G/L account.
commitments Pending expenditure transactions.
cost sharing Funds provided by the University or other entities to support grant-related activities.
current year Transactional activity that occurred during the current fiscal year.
document type (DT) An alphabetical code describing the type of document being processed; for example: SA = journal voucher, ZY = payroll posting.
ending balance This is calculated as adjusted balance minus YTD expenditures. This field is found on the SMUR income statement and RIO income statement.
fiscal year July 1-June 30 (e.g., FY 2008 represents July 1, 2007 through June 30, 2008).
fiscal year period A period (i.e., a month) within a fiscal year. For example, 003/2008 represents September 2007, and 007/2008 represents January 2008.
fund The lowest-level source of funding required for budgeting and monitoring. Funds describe the sources of money (e,g., 2101000 = general funds).
fund center Similar to departments, fund centers are the organizational areas of responsibility for budgetary monitoring and reporting.
funded program A funded program is used for detailed budgeting and expenditure control of temporary, discrete groups of activities. Sponsored programs and real internal orders (RIOs) are types of funded programs.
grant Similar to a “major” account in legacy, grant data contains data regarding the type of funds. A grant number is six digits. One grant might contain several sponsored programs.
grant-relevant Information related to grants (e.g., cost sharing and sponsor funds). Sponsor fund numbers begin with 4.
grant total balance/budget Grand total balance/budget is a calculated field. In the standard monthly user report income statement, the calculation is:
S&W ending balance + fringe benefits ending balance + S&E ending balance - YTD total commitments. In the RIO income statement report, the calculation is: adjusted balance - actuals - commitments. Note: Revenue is not included in the total.
grant view This is a consolidated view from a grant’s perspective. It includes data from all sponsored programs associated with this grant.
last year This represents transactional activity that occurred during the previous fiscal year.
life-to-date (LTD) Total activity since the inception of the account. It may span over multiple fiscal years.
management balance

In the account balance listing and standard monthly user report balance sheet, the following formulas apply:

  • Other funds = assets + liabilities - commitments
  • Budgeted or GM funds = adjusted budget - expenses - commitments
not grant-relevant Information that is not related to grants. In the account balance list report, the not grant-relevant section provides information on non-grant management accounts.
order A cost collector in OnePurdue used to monitor costs, including funded/sponsored programs, real internal orders (RIOs), statistical internal orders (SIOs), and work orders.
original process The type of process that created the entry; this field is always system-generated. Its values may include COVR (carry over residual budget), CCF (commitment carry forward), BPS (plan data transfer from SAP BW), or BAPI-ED (BAPI entry document).
predecessor document number (pre doc no) A predecessor document number may contain purchase order numbers for paid invoices.
previous year Transactional activity that occurred during the previous fiscal year.
process (PROC) This field is found in the SMUR monthly budget changes report, the RIO monthly budget changes report, and the FSSR monthly budget changes report, and indicates the type of process for the transaction. Its values include enter (ENTR-original annual budget amount), transfer (TRAN-transfer of funds), supplement (SUPL-supplement — one-sided entry), or carry over receiver (CORV-system generated). reference document number (ref doc no) Reference document number is the document number in the financial ledger.
revenue over/under expenses Revenue over/under expenses is calculated as total revenue minus total expenses. This field is found on the SMUR operating statement and RIO operating statement.
sponsored program view This report contains data for only the sponsored program listed in the selection criteria. If there is more than one sponsored program listed, a separate report will appear for each program.
this year Transactional activity that occurred in the current fiscal year.
total adjusted budget changes Budget changes processed during the fiscal year, including carry forward, transfers, supplements, etc. This field is found on the SMUR income statement and RIO income statement.
total expenses

The total expenses field is found on the SMUR income statement and RIO income statement. The formula is:

  • Subtotal S&W + subtotal fringe benefits + subtotal S&E = total expenses
value type (VT) A numerical category for accounting transactions (e.g., 54 = Invoices).
year-to-date (YTD) Total activity since the beginning of the fiscal year.
