New Southwest traveler benefits join Concur improvements, policy changes

The Travel office has worked closely with Southwest Airlines to provide benefits to travelers and encourage use of the Concur booking tool. Purdue travelers who book with Southwest will receive bonus points, as well as Rapid Rewards Frequent Flyer A-List membership status matches, from April 1 through Sept. 30. A detailed list of the benefits, all available as of April 1, is on the Travel website.

As a result of user feedback and suggestions, Travel is making changes to the Concur Travel and Expense system as well as to Purdue’s travel policies and procedures. The first round of changes will be implemented Friday (April 6) and will consist of:

* Eliminating extra keystrokes by:

-- Not requiring that each line item’s allocation be manually verified.
-- Ensuring that personal travel days information flows to the expense report from the request, eliminating duplicate discussions and entries by the traveler.
-- Improving travel card import to minimize the number of “undefined” card transactions.
-- Grouping of expense types to ensure that the most prevalent are moved to the top.

* Minimizing reports being returned by catching exceptions during the expense report entry. 

* Policy changes:

-- Not requiring taxi justification, unless the trip is covered by sponsored program funding (a policy change).
-- Bringing both the Drive versus Fly and the maximum domestic personal airfare reimbursement policy values to $400.

* Adding the ability for approvers to modify account number, report dates and title, minimizing expense report returns, resulting in faster reimbursements for the traveler.

These changes should result in faster reimbursement for travelers.

Additional improvements to the Concur solution and policies and procedures are targeted for 2018. More information will be distributed to highlight those improvements before the changes.
