Incoming
and Outgoing US Mail |

We
deliver U.S. and campus mail to all departments and recognized student
organizations. The content of mail should relate to the official
business of the University.
Mail
is picked up and delivered at scheduled times from the receiving
room or another central location of each campus building. Materials
Distribution Services (MDS) is not responsible for sorting or distributing
mail within buildings unless the building has a MDS staff member
located within the building. If a problem exists with the mail,
check first with the building deputy or receiving clerk. If the
source of the problem is not within the building, call MDS for assistance.
Questions concerning the procedures and regulations should be directed
to the MDS Manager at Material Management and Distribution Center.
There are a
number of MDS outdoor collection boxes placed on campus that are
serviced at 5:00 p.m. each University business day. Campus mail,
U.S. mail, UPS, FEDEX, and unmetered mail, bound for the University
Presort Program to be processed against University accounts, may
be placed in the boxes. Presort mail needing postage, placed into
these boxes, will be processed on the next working business day.
Items too large to fit in the box should NOT be left under the box. |

| Preparation
of Outgoing U.S. Mail |
| All
outgoing first class mail must be separated from campus mail. Each
type of mail should be deposited in the proper side of the official
building mailbox or pickup location. Building personnel responsible
for mail handling must adhere to the following U.S. Post Office regulations: |

All
postage meter mail should be separated from other first class
mail. Metered mail should be bundled together to prevent it
being mixed with mail in stamped envelopes: metered mail must
be delivered to the U.S. Post Office the same day it is metered.

Quantities
of mail should be properly sorted and tied together. Special
delivery mail should be placed in the front of each package.

Do
not mix first, second, or third class mail, but package each
class separately. |

Use
Zip Codes on all U.S. mail. |

| Missorted
U.S. mail should be banded together and placed in the "CAMPUS" side
of the building mailbox. All U.S. mail for staff members located in
the buildings other than the building in which the main departmental
office located should be marked with the proper building name and
placed in the "CAMPUS" side of the building mailbox. |

| Mail
for staff members no longer employed by the University will be forwarded
to the new address. Draw lines through all parts of the old address
except the name. Write the new address next to the name and place
this mail in the " U.S. Mail" side of the mailbox. No additional postage
will be required for first class mail; parcels post will be forwarded,
but the addressee will be required to pay the postage due upon receipt.
The U.S. Post Office will not forward third class mail. University
funds will not be used for forwarding this type of mail. |
