Prior to Reconfiguration

Please do the following PRIOR to your computer being reconfigured:

Make sure you do not have any information that you need saved on the C:\ drive (this includes your desktop.)  For example:  files, documents, spreadsheets, etc.  (To make sure files are saved on the S:\ drive, you can log into another computer and make sure you can still access your files.)

If you have information that is business related stored on your hard drive, move this information to the appropriate location within the new file structure on the S:\ drive.  If you are unsure of the appropriate location, please contact your Technical Coordinator.

If you have non business-related information stored on your hard drive, such as your resume, you will need to copy this to a floppy disk.

Brio OCE's, brioqry, .ini file, Internet Explorer Favorites, desktop links and shortcuts, and the Word template storage file normal.dot file, which may contain your macros and auto-text, are stored on the hard drive.  If you need to save these, follow these steps:

  • Put a floppy disk in your A: drive
  • Double click on "My computer" (located on desktop) 
  • Right click on the A: drive and select format
  • Click start (this will erase any information on the disk)
  • Double-click on the xp wsbackup2.bat file located under S:\bs\common\pt\xp wsbackup2.bat

NOTE:  Keep the floppy disk you create.  You will be using it again when your machine has been reconfigured.

You may have created personal drive mappings in Windows Explorer.  You will need to make a copy of the Windows NT Explorer screen or document your drive mappings on paper.

To document current drives:  (You need to complete the steps listed above before completing these steps.)

  • Double click on My Computer - Double click on your home directory (H: drive) and open the file called drivemappings.txt.  Verify that all networked drives are in the drivemappings.txt file.  Please note that none of your fixed drives will be in the drivemappings.txt file.
  • If all the information is correct, print the drivemappings.txt file and save it for use in configuring your computer.

If you have created shortcuts in the Outlook bar, you will need to create a screen print so that you can recreate these shortcuts or any other customized settings after the reconfiguration.

To recreate a screen print:

  • Open Outlook
  • Be sure that your shortcuts are all visible
  • Press the ALT and PRINT SCREEN keys simultaneously to create a screen print of Outlook
  • Open Microsoft Word and start a new document
  • From the Home tab, select the PASTE command or press CTRL V at the same time.  You should now have a picture of your mappings in your Word document.
  • Print this document.  Keep it in a safe place so you can use it after reconfiguration to recreate your Outlook screen.

If you have items saved in your Custom Dictionary for Outlook, you can save that information to use after reconfiguration:

  • Open Outlook
  • Go to Tools | Options and click on the Spelling tab
  • Choose Edit in "Edit custom dictionary"
  • You will receive a text file that you can save to your H: drive (file, save as, H: drive)
  • After you have been reconfigured, you will be able to paste this information back in your file

If you have created any ODBC settings or have had someone create ODBC settings for you, please document them.  These settings will need to be recreated after being reconfigured.

NOTE:  Print on the screen shots may be small, but you can expand the picture until it is readable for you.  To expand the picture:

  • Click your mouse anywhere inside the picture.  Small black boxes will appear in several places around the picture.
  • Put your mouse pointer over the box on the bottom right corner of the picture until the mouse pointer changes to a double-ended arrow.
  • Click and drag the mouse to resize the picture so that the text is more readable.

You also need to click on each of the Outlook web shortcuts you have created and note the address that appears in the web toolbar at the top of the screen.

You will want to print a copy of your calendar for the workday following the migration to the new environment.  This will aid you if for some reason you are unable to log onto your workstation after reconfiguration.

If you are using special software, be aware that any changes you have made to it need to be documented for future reference to be used after reconfiguration.

If you are getting a new computer:

  1. Please remove all items from your monitor and tower such as notes, screen filters, pictures, CDs, and floppy disks out of the drives.
     
  2. Please clear the area around your computer.  We will be moving one computer out and another one in so we will need some room to work.

Things to look at in Outlook

  • SIGNATURE - Your signature will not copy over when you are reconfigured.  If you want to keep it, you can copy and paste the signature from a current e-mail into a new document, or you can go to Tools | Mail Format | Signature; then copy and paste the signature into a new document.  Make sure you save the document on your H: drive. 
     
  • FLAGS - Flags in Outlook 2003 mean something different in 2007.  All your flags that you have will turn into Tasks in 2007.  You will still see the flags but you will also see them as tasks now in the bottom part of your calendar.
