How to Scan your Workstation for Potentially Sensitive Data
In order to be good stewards of the University’s information, all restricted or sensitive data should be stored on departmental servers and not on personal workstations, desktops, laptops, BlackBerries, or Tablet PCs.
A batch file has been created to assist you with identifying files that might contain sensitive information by searching your hard drive for certain file types.
Before running the scan, empty your recycle bin. It is recommended to run the scan the first thing in the morning. This will avoid the results displaying files in Temp Internet folders that may be accessed during the day.
To run this file, go to the following file location:
Q:\Apps\FindLocalData

Double Click on the file titled: scan for local data.bat

You should see the following:

Press any key to continue.
When the scan is complete, a results box will appear with a list of stored files on your hard drive (i.e. .doc, .xls, .txt, .pdf, etc.) that may have a name that suggests the file may contain sensitive or restricted data. The scan results will also place a file (scanresults.txt) in your H: Drive. You will want to review these files to ensure that they do not contain sensitive data. If necessary, move these files to the appropriate place on the departmental server.
The results are broken down into sections by type of document. Please be aware that there will be files listed that you did not create. These do not contain sensitive information and can be ignored.

How to delete the scan results from your H: Drive
Once you have completed your review of the scan results, you will need to delete this file from your H: Drive.
To delete the file from your H: Drive:
- Go To Windows Explorer
- Locate the H: Drive
- Delete the file titled: scanresults.txt
