Electronic Mail

The University provides e-mail facilities for activities and associated administrative functions supporting its mission of learning, discovery, and engagement. Although modest personal use of University e-mail facilities is allowed, they should be used for University-related educational and administrative purposes. Any use of University e-mail facilities that interferes with University activities and functions or does not respect the image and reputation of Purdue University is improper.

Policies and regulations that apply to other forms of communications at the University also apply to electronic mail. In addition, the following specific actions and uses of University e-mail facilities are improper:

  • Concealment or misrepresentation of names or affiliations in e-mail messages.
  • Alteration of source or destination addresses of e-mail.
  • Use of e-mail for commercial or private business purposes that have not been approved on Purdue University Form 32a.
  • Use of e-mail for organized political activity or political solicitation.
  • Use of e-mail to harass or threaten other individuals.
  • Use of e-mail that degrades or demeans other individuals.

The purpose of this policy (v.3.1) is to describe the appropriate use of University e-mail facilities, associated responsibilities, and rights of all users of University e-mail facilities and official Purdue University e-mail accounts. This policy supersedes the original Purdue University electronic mail policy released on September 29, 1995.

Privacy for Electronic Information

The right to privacy is a deeply held conviction, especially within intellectual and academic communities. Although Purdue University seeks to create, maintain, and protect the privacy of electronic information on its IT resources, users should be aware that the use of Purdue’s IT resources is not completely private. Accordingly, users of Purdue’s IT resources are hereby specifically notified that they have no expectation of privacy in connection with their use of IT resources.

The University’s privacy for electronic information policy covers the following types of information at all Purdue campuses:

  • Data, e-mail, and voice mail stored in IT resources, including without limitation, computer accounts on University-owned systems or other University-owned devices.
  • Data, e-mail, and voice mail stored in computer accounts or other devices managed by the University on behalf of an associated organization, for example, the Purdue Research Park.
  • Voice and data telecommunications traffic to, from, or between IT resources, including without limitation any of the devices listed above.

University data is an important University resource and asset and must be protected. Purdue students, faculty, staff, and other individuals affiliated with the University are expected to abide by University policies.

Sharing of user IDs and passwords is strictly prohibited by University policies and such behavior can subject employees to disciplinary processes.

Purdue University is dedicated to ensuring the privacy and proper handling of Social Security numbers (SSNs) of its students, employees, and individuals associated with the University. Many laws affect how and when the University may collect and use those Social Security numbers. The University’s Social Security number policy ensures that the necessary procedures and awareness exist so that the University will properly handle SSNs. Purdue Pages on the World Wide Web

The University recognizes the value of the World Wide Web (Web) as a publication and information distribution facility.

In general, University policies and regulations that apply to the content of publications and communications apply to contents of Web pages published using Purdue’s Web servers. In particular, all information included in Web pages on Purdue Web servers must:

  • Comply with all laws governing copyrights, intellectual property, libel, and privacy.
  • Not violate any policy, rule, or regulation of the University.
  • Not be used for non-Purdue commercial activities.

Purdue University Press

Dedicated to excellence in scholarship and the advancement of critical thought, the Purdue University Press, established in 1960, is the formal publishing arm of the University. The Press is committed to distributing information in a variety of traditional and non-traditional formats to satisfy the needs of current and future scholarly discourse. The Press has several imprints including ICHOR Business books, Notabell Books, Digital-I books, and a juvenile reprint line, PuP Books. The Press focuses on business, health, technology, and veterinary medicine as well as series in central European history, comparative cultural studies, the history of philosophy, human/animal bond issues, philosophy/communication, and romance literature. The Press also publishes several scholarly journals.

Working with its editorial board, which is composed of nine Purdue faculty members, submissions are put through a rigorous review process. Once accepted, the press undertakes the editing, design, and production of each work. The press markets all of its titles using direct mail campaigns, spot advertising, displays at conventions and conferences, and by obtaining reviews in appropriate scholarly and general interest publications. The Press, directly and through its agents, distributes titles to individuals, bookstores, and libraries both domestically and internationally.

Located in South Campus Courts–E, the Press serves the wider academic community by providing professional advice concerning publishing questions related to contracts, Library of Congress cataloging, distribution, promotion, and publicity.

Agricultural Communication Service

Agricultural Communication Service (AgComm) is an important link between Purdue and the public at county, state, and national levels.

The department uses a variety of media, including publications, videotapes, exhibits, graphic design, photography, mass media, CD-ROM, Web sites, and distance learning technology.

Approximately 2,200 educational publications are available from the Purdue Agriculture Media Distribution Center, (888) EXT-INFO, or through the online Purdue Extension Education Store at www.ces.purdue.edu/new.

AgComm is also one of three University offices officially allowed to send out news releases and other materials for the media. The department concentrates on the public understanding of science, agricultural production, consumer information, and the promotion of Purdue Agriculture and the Purdue University Cooperative Extension Service. The department also publishes Connections for agricultural alumni, Purdue Agriculture Report, an e-mail newsletter for business and civic leaders, and Agricultures, a general interest magazine for people interested in the application of research and education to issues and interests in life science, agriculture, and natural resources.

Sports Information Office

Reflecting Purdue University’s intercollegiate athletic program in a favorable light, servicing media requests, and disseminating accurate information about Purdue sports are among the roles assigned to the Sports Information Office.

The office is responsible for hosting media at events, press box and press row operation, internal and external public relations, television and radio tapes, news releases, overseeing the athletic department’s Web site, maintaining historical records and related publications, programming and game-day operation of electronic scoreboards and JumboTron, and the editing and distribution of brochures, yearbooks, and newsletters. The staff also coordinates game/event broadcasts and reports (volleyball, women’s basketball, baseball, and softball), as well as coaches’ shows on local radio and television outlets.

From the office in Mackey Arena, Room 15, the staff provides advance game information, play-by-play reports, statistics, coaches’ quotes, and medical reports for all Boilermaker intercollegiate teams.
