SUBJECT: Invitations to the Board of Trustees
I respectfully request the assistance of your respective offices and units with regard to sending invitations for university events to the trustees.
Effective immediately, any electronic invitation that you wish for one or more of the trustees to receive should be sent to firstname.lastname@example.org. My assistant, Kim Weldy, or I will then forward the invitation to the trustee(s) and ask them to respond with their attendance plans. We will then extend their RSVP(s) as appropriate. Allowing the Office of the Board of Trustees (BOT) to serve as the clearinghouse for electronic invitations to the trustees will not only make Kim and me aware that the trustees have been invited to the event, it will streamline communication and alleviate confusion.
Additionally, if an actual print invitation is mailed to the trustees, please kindly send a copy of the invitation to my office, again, so that we may be aware that the trustees have been invited to the event and serve as the clearinghouse for their attendance.
