Students using auxiliary services are responsible for carefully reviewing the following policies and procedures.

REQUESTING AUXILIARY SERVICES

Auxiliary service providers include interpreters, real-time reporters, notetakers, TypeWell transcribers, lab assistants, and exam readers and scribes. The Coordinator of Interpreting Services contracts interpreters and oversees interpreting services; the Coordinator of Auxiliary Services employs/contracts all other providers and oversees all other services.

Students are responsible for contacting and meeting with the appropriate Coordinator to request auxiliary services. This meeting should take place before final exam week to ensure that providers are in place when classes begin the following semester. Students who use a combination of interpreting and other auxiliary services will need to meet with both Coordinators.

COMMUNICATION WITH COORDINATORS

Students must notify the appropriate Coordinator about:

  • any change in class schedule.
  • any change in contact information (address, phone, e-mail). Note: Students must also notify the University via SSINFO of such changes.
  • planned absences from class.
  • unplanned absences from class (after the fact).
  • problems with service providers (e.g. attendance, punctuality, performance).
  • barriers to access.

COMMUNICATION WITH INSTRUCTORS

The Disability Resource Center prepares Accommodations Letters for students who receive auxiliary services. The Accommodations Letter 1) describes how the student's disability affects his or her access to course activities, materials, and/or evaluations; 2) enumerates the accommodations required to provide access; and 3) explains the responsibilities of the instructor, student, and the Disability Resource Center division of the Office of the Dean of Students. in implementing the accommodations.

Students are responsible for picking up Accommodations Letters from the Disability Resource Center and delivering one letter to each instructor for courses in which accommodations are requested.

Students must initiate a meeting with each instructor to make arrangements for the timely implementation of accommodations. This meeting should occur within the first three weeks of the semester or within the first three class sessions for a course less than 16 weeks in duration. Note: Students who are eligible for captioned videos must obtain information from instructors about videotapes used as part of the course and communicate this information to one of the Coordinators.

Students are responsible for introducing service providers to instructors and explaining the provider's role in the classroom.

Students should communicate with instructors throughout the semester regarding academic progress.

COMMUNICATION WITH SERVICE PROVIDERS

For students using interpreting services: The Coordinator of Interpreting Services will e-mail information about interpreters before the semester begins. During the semester, students and their interpreters may exchange contact information and communicate directly. Or, if the student or interpreter prefers, the Coordinator will relay messages.

For students using other services: Students are responsible for picking up a Service Provider Information form from the Coordinator of Auxiliary Services beginning the week before classes start. This form lists classes with providers' names and contact information. Students should keep this form for reference throughout the semester.

Students using notetakers should contact their notetakers and arrange to meet before the first class if possible. The student and notetaker must meet before service can be provided.

Students using auxiliary services should give their providers feedback throughout the semester regarding the effectiveness of the services. This communication is helpful in preventing misunderstanding and ensuring students' access. Toward the end of the semester, the Coordinators ask students to formally evaluate service providers. Information obtained from these evaluations is considered by the Coordinators in making future assignments.

If students have problems with service providers that require intervention, students should contact the appropriate Coordinator. Every reasonable effort will be made to resolve the problem(s) quickly and fairly.

Service providers are expected to respect students' privacy. However, service providers use professional judgment in sharing student information with the Coordinators. Issues that must be discussed include, but are not limited to:

  • communication problems
  • difficulty meeting student needs
  • student's habitual inattentiveness, tardiness, absence
  • any problem the service provider is unable to resolve by talking to the student and/or instructor

NOTES AND TRANSCRIPTS

Students may not share notes and transcripts with classmates, in the interest of fairness to all students and to encourage class attendance.

Students are responsible for providing paper for notetakers and disks for real-time reporters and TypeWell transcribers.

Students sharing a notetaker may purchase NCR carbonless paper, available at Boiler Copymaker in the Purdue Memorial Union and in local bookstores. Or, they may share the expense of copying notes.

ATTENDANCE

Students are responsible for notifying the appropriate Coordinator if a service provider is chronically late or misses a class.

Accommodations are provided only when students are present in class. If students are unable to attend class for any reason, they must arrange with the instructor/professor and/or other students in class to get notes and make up the work missed.

If a student is not present when class begins, the service provider will wait 15 minutes for the student to arrive. If, after 15 minutes, the student has not arrived, the service provider will conclude that the student is absent and leave. During the wait time, the service provider will not record classroom information.

ABSENCE

If students plan to miss a class, they must notify service providers and the appropriate Coordinator as far in advance as possible. In the event of illness or emergency, students should notify services providers and the appropriate Coordinator as soon a possible after the absence. If students do not have the service providers' contact information, they should communicate directly with the appropriate Coordinator.

Two consecutive unreported absences from a class, or three unreported absences during any two week period, will 1) result in an interruption of service(s) in that class, and 2) necessitate a conference with the appropriate Coordinator and your Disability Resource Center Program Specialist. During or following this conference, a decision will be made regarding reinstatement of service(s). Note: An unreported absence refers to an absence with neither advance notification nor notification within 24 hours following the class or event.

REQUESTS FOR SERVICES OUTSIDE OF CLASS

To request accommodations for events outside of class (e.g., conferences with faculty, special seminars, other meetings), students must contact the appropriate Coordinator. All such requests require a minimum of three days' notice (one week's notice is preferable), in view of the difficulty scheduling providers. An effort will be made to fulfill requests made on short notice, with the understanding that providers may not be available.

TIME CARDS

Students are responsible for signing student providers' completed time cards at the end of each pay period. The signature confirms that the service recipient agrees with the hours claimed by the provider.
