Good News!!  In an effort to better serve our employees, the university has teamed with Hotels.com to offer travelers a convenient, cost-effective means of booking hotel reservations.  This program is available to anyone with a Purdue University career account.

When using this program to make hotel reservations for University business travel, you will no longer need to wait until you return to be reimbursed for your hotel stay.  A 'Purdue Hotel Credit Card' is already installed in the site.  When you finalize the transaction, this card will be charged for the entire hotel stay.  Travelers will need to present a personal credit card at the hotel for any incidental expenses during the stay.  

All you need is an approved Form 17, Request for Authority to Travel, a valid cost assignment, and a Purdue career account & password. 

Please attach the hotel confirmation to the Form 25 when submitting for reimbursement.

REMEMBER: 

  • Only Single/Standard room rates are allowable.  Double occupancy rooms may only be booked if more than one Purdue employee is sharing a room and both are on Purdue business. 
    • Some rooms state the room rate is for 1 or 2 persons.  These rooms are considered single rate.
  • Always print out the registration confirmation
  • Always preview the 'Cancellation Policy' before booking
    • Some bookings are non-refundable.  Purdue discourages travelers from booking non-refundable rooms
  • Always preview the Payment Method before booking
    • Some bookings are 'Reserve or Hold Only' 
    • In this case, the traveler should be aware that their personal card will be charged at check-out

Travelers may begin making reservations immediately by following the steps below:

  1. Go to the 'Purdue University/Hotels.com' website
  2. Click on 'Log In'
  3. Enter career account and password
  4. From there you will go to your own personal Purdue Hotel Home page 
  5. Click on ‘New Reservation’<?xml:namespace prefix = o ns = "urn:schemas-microsoft-com:office:office" />
  6. Select your 'Traveler Classification'
    1. Making reservations for yourself
    2. Making reservations for another employee
    3. Making reservations for a non-employee
    4. Making reservations for personal travel
    5. Making travel personal hotel reservations for someone else
  7. If Item 6, Options a, b, or c are selected, please enter the Account Information
  8. Click the ‘Continue’ button and begin the reservation process by selecting the destination city and dates of travel.
  9. Select your hotel and proceed to the checkout page
    1. Always print out your receipt and attach to the Form 25, Request for Travel Reimbursement'

If you are a Travel Arranger:

  1. Follow steps 1-6
  2. Select Option 'b' or 'e' in step 6.  Select your traveler using the drop-down box or click the button 'Add/Remove Traveler' to create your list of travelers.
    1. You'll need the traveler's first and last name and Purdue email address
    2. The traveler will receive an email informing them they've been added to your list.
  3. Click 'Traveler Classification' in the tan bar at the top of the page and repeat step 6.
  4. If Step 6, Option 'b' or 'e' are selected, choose traveler
    1. Step 6, Option 'b' requires Account Information before continuing
  5. Click the 'Continue' button and begin the reservation process by selecting the destination city and dates of travel.
  6. Select your hotel and proceed to the checkout page
    1. Always print out receipt and attach to the traveler's Form 25, Request for Travel Reimbursement'
