Four New Projects Added to Priority List - 04/27/10

The Project Management Office (PMO) reported Wednesday, April 21 that it has added four new projects to the Business Systems prioritized projects list. Three of the four new projects will occupy the priority list’s top three positions.

The new projects are:

Sustaining New Synergies Retirement Changes
     -- Recommended position on current priority list: No. 1
     -- Requested by: Sustaining New Synergies Committee
     -- Process owners: Luis Lewin, vice president for Human Resources
     -- Business Systems Advisory Committee (BSAC) sponsor: Craig Hamaker, data and financial analyst, Human Resource Services (HRS) Staff Benefits
     -- Business Systems Steering Committee (BSSC) sponsor: John Beelke, director, HRS Staff Benefits
     -- Contact: Lester Burch, HR/Payroll Team manager, System Support Group (SSG)
     -- Description of project: The work is required to meet Purdue’s long-term general funds budget needs as described in documents located on the Steering Committee page of the Sustaining New Synergies website. A change the University’s retirement benefit plan was approved by the Board of Trustees at its April meeting. The implementation date is Jan. 1, 2011. Retirement Vendor

     -- Process owners: Luis Lewin, vice president for Human Resources

     -- Description of project: The OnePurdue team will configure all retirement plans in SAP and build interfaces between the SAP system and retirement vendor. The project will include change management provided by the Training and Communications Team. The vendor will provide training on its system working with Staff Benefits.

New PERF Interfaces
     -- Recommended position on current priority list: No. 3
     -- Requested by: Staff Benefits and the State of Indiana
     -- Process owners: Luis Lewin, vice president for Human Resources
     -- Contact: Lester Burch, HR/Payroll Team manager, SSG
     -- Description of project: Three new interfaces must be added to support an updated PERF (Public Employees Retirement Fund) system created by the State of Indiana. The project will require creation of three new interfaces (eligibility, contributions and separations) as soon as possible. The project also calls for automation and testing of the interfaces by Purdue and the State of Indiana. The Training and Communications Team will provide change management. The vendor will provide training on its system working with Staff Benefits.
     -- Proposed project timeline: Two interfaces are due as soon as possible, and specifications for the third will be available in July.

Budgeting Workbench Document (FMBB) – Process Enhancements
     -- Recommended position on current priority list: No. 36
     -- Requested by: Kay Parker, manager, Financial Reporting
     -- Process owner: Ken Wilson, interim comptroller; Matt Westhuis, assistant comptroller
     -- Contact: Pam Bower, Finance Team manager, SSG
     -- Description of project: Process owners would like to improve the effectiveness of budgeting workbench documents (FMBB) by reducing keying errors and processing time and potentially eliminating paper. The SSG will review pre-post functionality of the FMBB and workflow within the BSC component of Funds Management. It also will identify reporting impacts within R3 and the Business Warehouse. The team will document recommended business process changes and communicate with their owners. The training team will ensure that training materials are updated correctly and communications are sent.

The Project Management Office is composed of representatives of most central support areas for business systems. Details about the project prioritization process are available in the Request and Prioritization Process document posted to the Business Systems Advisory Committee website. A new prioritized project list is posted to the BSAC site monthly. The latest priority list is dated April 6 and does not reflect the above items.
