Definition of Chargeable and Non-Chargeable Department

Chargeable Department: A "chargeable department" number identifies a University organizational or operational unit which, when used as the "department" portion of an account number in the University Chart of Accounts, associates those accounts with that organizational or operational unit.

University account numbers are in the format FFF DDDD-PPPP, where FFF=Fund, DDDD=Department and PPPP=Project.

For funds 010 through 816 and 840, the department number references a specific University area (organizational or operational). Accounts in these funds must contain a department number which exists on the Accounting Services Responsibility Header File and is coded as "chargeable".

Non-Chargeable Departments: Non-chargeable departments are included in the various University department header files to accommodate various needs:

  • Mailings to affiliated, non-University areas (1PRF=Purdue Research Foundation, 1ALS=Purdue Alumni Foundation, 1JPC =John Purdue Club);
  • Operational or geographic designations (1739=SMAS identifier for Purdue Memorial Union meeting rooms;
  • 1755=SMAS identifier for the President's House - Westwood);
  • Old departmental designations are retained as non-chargeable departments for a period of time to avoid re-using department numbers with consequential confusion.
