Laptop as a Desktop (LaaD) Service Level Offering

New LaaD Implementations

  • Departments may request a new LaaD unit to replace a desktop during the annual SSTA Equipment Lifecycle Replacement (ELR).
    • The LaaD installation will be scheduled after the normal July/August ELR effort.  All machines involved, whether trickled or replaced, will not process until that time.  Some workstations will be out of warranty for a short time as they will stay in service beyond the scheduled ELR replacement month.
    • A Workstation trickle or warehouse sale involves the CPU as well as the keyboard, mouse, and monitor.  Units must stay together as peripheral warranties are determined by the CPU warranty expiration date.
    • Trickled units which currently have two monitors will be considered on an individual basis.  Monitor life is not to exceed the four year lifecycle of a workstation.  Whenever possible, second monitors should stay with the unit for which it was initially purchased.
  • Requests for net-new LaaD units (not replacing desktop) may be purchased anytime.
  • Target use is oriented toward a person who is out of their office a lot. “Occasional use” laptops and the SSTA checkout laptop pool will remain available.

Procurement

  • At this time, the same annual support fee structure will be maintained for a LaaD as for a Desktop.  This fee will be re-visited at the next Funding Model modification.
  • The VPSS Life Cycle Replacement matching contribution for a LaaD will be the same as a desktop.  Department will absorb the initial and replacement unit cost that exceeds their desktop unit’s cost.  VPSS matching will be at that desktop’s rate.  This additional cost will be considered an option so it will be paid at time of purchase.  Department will absorb the initial and replacement cost of the optional Docking Package.

Security

  • LaaD units will contain data files as a user’s home directory (H:) will synchronize to the C: drive of the unit.
    • SSTA will perform a scan of the user’s home directory data (H:) as stated in our SSN Scanning Initiative prior to initial installation.  This one time effort will help mitigated a potential risk of University data.
    • Users should refrain from storing files with sensitive or restricted data in their home directory.
  • A cable lock is provided so the unit owner can provide physical security of the laptop in unsecured areas

Network Connections

  • Data PIC Speed
    • It is best practice for any user who will be utilizing a LaaD to have their PIC at 100MB (medium) speed as opposed to our standard 10MB(low) speed.  This will help ensure a satisfactory user experience with the home directory and Exchange mailbox synchronization that will happen on a daily basis.
      • The current annual cost of a 10Mbps low speed data connection is $47.28 per year.
      • The current annual cost of a 100Mbps medium speed data connection is $ 120.72 per year.
    • SSTA will process requests for the upgrade in speed.
  • Updates
    • A LaaD unit is required to connect to a wired SSTA supported PIC overnight at least once every 30 days to ensure security patches, virus updates and SSTA patches and upgrades are installed on the unit.

Training

Support

  • To report an incident, users are to communicate via normal SSTA helpdesk channels. (49-44357, zonehelp@purdue.edu)
  • In the event of hardware failure, SSTA has a replacement unit available.  Adequate time should be allowed for initial synchronization of the unit.

Miscellaneous

  • LaaD users may not store Outlook .pst files in their home directory as these very large files cause issues during the synchronization process.
  • LaaD units are “locked down” similar to a desktop unit.  Users may not install software on the unit.
  • The LaaD unit will replace a designated person’s desktop.  It is assigned to a specific person and not intended to be shared with others.
  • LaaD units are not intended for hourly staff positions as overtime concerns are not clearly addressed.
