Electronic Devices Service Offering

Introduction
SSTA customers should refer to the University Electronic Device and Services Procedural Guidelines for all information related to electronic devices.  Frequently Asked Questions related to this policy are published by the Telecommunications Office and may be updated based on feedback and questions.

The services offered by Student Services Workstation Technology (SSWT) will follow the recommendations set forth in the above mentioned documents unless otherwise stated in this Service Level Offering.

Scope
For the purpose of this document, Approved Users are SSWT supported customers who, in cooperation with their department head, have signed the Employee Agreement for Electronic Device and Service Technology Allowance form to receive technology allowance payment for use of their electronic devices and service.

Personally owned devices that are not approved by the department as required by specific job duties are entirely the vendor/user responsibility.

Recommended Device
Although Approved Users may purchase any make or model electronic device that meets their business need, SSWT recommends a BlackBerry unit when University email and calendar functions are required.  Please refer to the ITCR/DCS Supported Device Equipment Matrix for RIM make and model recommendations.  SSWT customers should follow the ITCR/DCS recommendations when choosing a unit.

The annual technology fee charged for use of the ITaP licensed BlackBerry Server is not part of the technology allowance payment.  The fee for each approved BlackBerry user is assessed via the department’s annual ITaP Phone Office bill with telephone and PIC charges.  

Other Devices
Devices purchased should be wireless, “self-contained” units and should not depend on the workstation for synchronization or any other functionality. 

Only grandfathered department purchased units (Axim, Jornada, Palm) will be supported on SSWT desktops and will be phased out.  No new purchases of equipment that connects to an SSWT workstation are allowed or supported.

Procurement/Transition
SSWT is not involved in the Process for New Requests (New Hires), or for replacement device purchases for existing Approved Users.  The employee, manager or supervisor and business office are involved in the transaction and should follow the documented process.  Purdue employees are reminded that they are eligible and should receive University discounts when signing up for service.

Setup/Installation/Configuration for Exchange Email
Blackberry Devices

BlackBerry devices for Approved Users whose department pays the annual BlackBerry Server technology license fee are setup to synchronize email, calendar and contacts with the Exchange server through a special BlackBerry server.  Setup is the responsibility of the telephone office.

Personally owned BlackBerry devices that are not approved by the department as required by specific job duties are not allowed to synchronize through the special BlackBerry Server, but may still be setup to communicate directly with the Exchange server without a fee. Setup in this manner is the responsibility of the user.  This will only allow access to your email messages. Windows Mobile Devices

Windows Mobile devices can be setup to synchronize email, calendar and contacts with the ITaP Exchange Environment.  Setup is the same regardless of if you are an Approved User or not.  There is no special server fee and setup is the responsibility of the user.  Instructions can be found in Purdue’s GoldAnswers Knowledgebase: How do I connect a Windows Mobile device to the Exchange server 2007?

Apple iPhone Devices

Apple iPhone devices can be setup to synchronize email, calendar and contacts with the ITaP Exchange Environment.  Setup is the same regardless of if you are an Approved User or not.  There is no special server fee and setup is the responsibility of the user.  Instructions can be found in Purdue’s GoldAnswers Knowledgebase: How do I configure my iPhone for an Exchange 2007 mailbox?

While software application modules exist for use with electronic devices, SSWT does not provide any installation or support for them.  Devices purchased should be wireless, “self-contained” units and should not depend on the workstation for synchronization or any other functionality.

Support
The last line of the Employee Agreement for Electronic Device and Service Technology Allowance states that SSWT is the unit providing information technology support.  SSWT support is limited to self-service assistance by searching Purdue’s GoldAnswers Knowledgebase for your specific device. SSWT Approved Users should contact their vendor for all support questions and repair issues.

Approved Users experiencing connection issues between their BlackBerry device and the BlackBerry server can contact SSWT helpdesk.  SSWT will create a Remedy case assigned to the telephone office for assistance on their behalf. (Assign case to Org: ITaP Networks and Security Group: Ns Tel Cellular)

ITaP Desktop Computing Support (DCS) will not assist SSWT customers as they charge a separate annual support fee for customers who wish to call them for assistance with their BlackBerry or iPhone. 
 
Due to the constant change in makes and models of electronic devices, user guides, online tutorials, and the vendor are recommended for configuration and support.  Self-service assistance can be found by searching Purdue’s GoldAnswers Knowledgebase for your specific device.
