WORKSTATION TECHNOLOGY - Departmental Coordinator Information
Coordinator Responsibilities
As a Department Coordinator, you act as the liaison between your department and Student Services Technology & Assessment. The following are some of the responsibilities you will incur with this position:
- You will be the primary communicator of policies and procedures relating to systems issues to your department. You will have access to the most up-to-date information concerning these issues by your department's relationship with the Distributed Computing Advisory Committee (DCAC).
- You will be solely responsible for requesting account additions, changes, and deletions for your area. There is a 2-3 day turnaround time for Granting Access to Student Services Resources, so it is wise to request accounts as soon as you are aware of the need. Accounts should be disabled on the same day that an employee leaves. A Removal of Access To Student Services Resources should be submitted promptly so access is removed promptly.
- You are responsible for communicating to SSTA-WT the data permission needs of the users in your area. Requests for shared subdirectories must come in writing (email) from you to ensure that data security needs are met. You will participate in the annual Shared Folder Permissions Review session to ensure data security.
- As a first point-of-contact for computer issues in your department, you will assist the user in answering first-line questions such as how do I login to the network or how to clear a paper jam in this printer.
- You will be asked to assist with all system projects in your area. An example would be the planning of an upgrade of a software package.
- New PC or software purchases will be discussed with the SSTA-WT Hardware Advisor or the Manager of SSTA-WT. You will be provided with possible quotes and prices and can discuss any special needs.
- Responsible for Form 9 processing of replaced equipment to the warehouse to ensure old equipment does not return to the environment. SSTA-WT manages the Form 9 for the annual equipment replacement project.
- You will communicate with the Manager of SSTA-WT or Director of SSTA concerning new projects, issues, or concerns.
- You should communicate to all of your staff about projects and things you learn by attending the Distributed Computing Advisory committee meetings.
- You will identify a backup departmental coordinator who can attend meetings and work with SSTA-WT when you are absent.
- You need to inform SSTA-WT when you are going to be absent from the office. This will let SSTA-WT know to contact the backup coordinator if need arises.
- Hardware may be moved by SSTA staff, Departmental Coordinators, or trusted, designated staff members within a department. Departmental Coordinators must update SSTA staff regarding employee changes and/or hardware moves and may do so via email (zonehelp@purdue.edu).
