Individually Owned Air Conditioning Units

The University will allow the installation in University buildings of a limited number of individually owned air conditioning units upon recommendation of the Department Head, Dean or Director, and Director of the Physical Plant and approval of the Business Manager. The recommendation will be considered by the Business Manager only if the following conditions and terms are first accepted by the owner of the air conditioning unit.

  1. The individual must be a Purdue University staff member employed twelve months per year.
  2. The air conditioning unit must be an air-cooled window type that will not project outside the window line. The unit shall include a thermostatic control and all accessories necessary to complete the installation. The size of the air conditioning unit shall not exceed one (1) ton capacity.
  3. The individual's office must have an existing outside window to accommodate the air conditioning unit.
  4. All maintenance shall be performed by a responsible contractor at the owner's expense.
  5. The air conditioning unit will not be operated overnight or weekends unless the room in which it is located is actually to be occupied, nor at any time unnecessarily.
  6. The Physical Plant Department of the University shall install all air conditioning units including the electrical services. The individual shall be responsible for having the air conditioning unit delivered to the room in which it is to be installed. The installation cost for units in instructional, research and related buildings shall be borne by the University. The installation costs of units in buildings of self-supporting enterprises shall be borne by the self-supporting enterprises.
  7. The Physical Plant Department shall be notified when air conditioning units are to be removed from windows. Then the Physical Plant Department shall remove the air conditioning units from the windows at no expense to the owner but the owner shall be responsible for removing the units from the premises. After the units are removed from the windows, the Physical Plant Department will return the building to its original condition.

    If, by reason of University policy or action, it is necessary to relocate an installed air conditioning unit in another University office, the cost may be borne by the departmental budget. In all other cases of relocation the individual will bear the cost of the move.

  8. The operating cost of the air conditioning units will be borne by the University.
  9. The air conditioning unit will, at all times, be labeled as non-University property and if not so labeled it will be assumed to be University property. Decals will be provided by the Property Accounting Office.
  10. All individually owned air conditioning units installed prior to the initiation of this policy must be registered with the Property Accounting Office. Owners of these units must agree to the applicable provisions of this policy.
  11. Non-University organizations (Federal, State and other agencies) will be allowed to install air conditioning units in facilities provided by the University if they agree to pay a $75 installation and removal charge and pay $25 per year per unit for operating costs. The terms of this policy will otherwise apply to the owners of these units.
