Re: Fees for Staff Members, Staff Spouse, and Staff Children Registering as Students in the University


 DEFINITIONS

  1. Semester -- Regular fall and spring semesters as defined in the Academic Calendar for each campus.

  2. Summer Session -- Regular summer session (eight weeks) or as defined in the Academic Calendar for each campus.

  3. Summer -- Period between Commencement and first day of fall classes.

  4. Semester Hour -- Normally one lecture or recitation hour per week for one semester equals one hour, or its equivalent for summer sessions, evening credit classes, credit extension classes, summer intensive courses, and credit workshops. Any reference to credit hours, course hours, etc. shall be understood as referring to semester hours.
  1. FEES FOR STAFF MEMBERS

    1. The fee for graduate assistants, graduate instructors, graduate student administrative and professional, and residence hall counselors is established by the Board of Trustees. This does not include the fees necessary to secure student tickets for convocations and lectures, and athletic games.

    2. The fee for members of the staff classified as: (i) full-time faculty, administrative, and professional; and (ii) regular clerical and service, is established by the Board of Trustees. The following conditions apply to credit hour limitation:

      1. May attend a maximum of seven semester hours/ semester or three semester hours/summer. Any employee who is registered for more than seven hours/semester or more than three hours/summer will not be eligible to continue employment under the above staff classification and will be classified as a student and pay appropriate fees.

      2. Staff members on approved leave of absence will be eligible for staff fees provided the hourly limitation in I. 2(a) is not exceeded.

      3. Cooperative Extension Service field staff with federal civil service appointments on approved educational leave of absence can pay staff fees without regard to the hourly staff limitation in I.2(a).

    3. The fee for an adjunct faculty member or associate staff member as defined in Executive Memorandum No. B-20 is established by the Board of Trustees, with the same hourly limitation as provided in I.2(a). If more than the hourly limitation is carried.. the staff fee rate is not applicable and regular student fees must be paid.

    4. All other staff classifications not covered by I.1 , I.2, or I.3 must pay regular student fees.

    5. Staff members eligible to pay fees as defined in I.1, I.2, and I.3 are exempted from all other regular credit course fees but must pay all applicable special fees and deposits.

    6. Staff members in the following classifications and under the following conditions may attend credit courses in the University as a visitor:

      1. Full-time faculty, administrative, professional, post-doctoral fellow, and visiting scholar with approval from the employing department head and course instructor.

      2. Adjunct faculty member or associate staff member with approval from the University department head and course instructor.

      3. Official University retirees as defined in Executive Memorandum No. B-35 with approval from the course instructor and the instructor's department head.

      4. May attend a maximum of seven semester hours/ semester or three semester hours/summer.

      5. May register without payment of fees.

      6. Will receive no credit for such courses. If the individual wishes to use credits toward a degree at Purdue University or elsewhere, he/she must register and pay appropriate fees.

    7. No fee will be charged to regular clerical and service staff who register for a course at the request of his/her supervisor for the purpose of job training and do not receive academic credit for the course.

    8. With the same hourly limitation as provided in I.2(a), staff members eligible for the staff fee may enroll in evening credit classes, credit extension classes, summer intensive courses, and credit workshops at the current approved staff fee provided regular student fees are assessed for those classes, plus any credit workshop fee that may be established as a special fee for a specific program. Staff members enrolling as visitors as defined in I.6(a) through I.6(f) in any evening credit class, credit extension class, summer intensive course, or credit workshop will be assessed the workshop or special fee approved for the course.

    9. If the staff member's appointment terminates within six weeks after the start of the semester or four weeks after the start of summer session and course work is continued, regular student fees must be paid for that semester or summer session.

    10. A person who subsequently joins the staff will be eligible for the staff rate if the appointment is made within the first six weeks of the semester or first four weeks of summer session, assuming the appointment qualifies for the staff rate as defined in I.1, I. 2, or I.3 above.

  2. STAFF SPOUSE

    1. The spouse of a staff member classified under I.I and I.2 is eligible for remission of the non-resident tuition fee.

    2. The fee for the spouse of a staff member as classified in II.1 above to register as an undergraduate, graduate, or special student on the West Lafayette campus shall be the same as the fee for any other resident student and will be assessed as follows:

      1. Part-time fees will be assessed for registration for seven or less semester hours/semester or three or less semester hours/summer session.

      2. Full fees will be assessed for registration for more than seven semester hours/semester or for more than three semester hours/summer session.

    3. The fee for the spouse of a staff member as classified in II.1 above to register as an undergraduate, graduate, or special student at one of the Regional Campuses shall be the same as the fee for any other resident student registering for courses at one of the Regional Campuses.

    4. The fee for registering as a class visitor shall be the same as the fee for any other student. Staff spouses paying full fees will not be assessed an additional charge for auditing a course on the West Lafayette campus.

  3. STAFF CHILDREN

    1. Staff children is defined to include stepchildren and those children who have staff members as their legal guardians.

    2. A partial remission of the general service fee, or its equivalent at the Region I Campuses, will be granted for the number of semesters normally required to complete the curriculum in which the student is enrolled, provided he/she is registered as a regular, full-time student in the University in a curriculum leading to the first baccalaureate, professional, or associate degree, to:

      1. Children of a full-time member of the faculty, administrative, professional, regular clerical and service staff.

      2. Children of an ad'uxict faculty member or associate staff member as defined in Executive Memorandum No. B-20.

      3. Children of a retired or deceased staff member as defined in Executive Memorandum No. B-35.

      For the purposes of administering these regulations, a fulltime student on the West Lafayette or Regional Campuses will be considered one who is registered for more than seven semester hours/semester or more than three semester hours/ summer session.

    3. The fee remission for staff children under the conditions outlined in III.2(a) through III.2(c) shall apply whether the student is registered on the West Lafayette campus or at one of the Regional Campuses.

    4. The fee remission for staff children under the conditions outlined in III.2(a) through III.2(c) shall not apply for graduate or special study.

    5. The fee remission for staff children under the conditions outlined in III.2(a) through III.2(c) shall apply for registration in evening credit classes and credit extension classes, provided the conditions in III.2 are met. However, staff children will be required to pay any workshop or special fee approved for the course.

    6. Fee remission for staff children will be discontinued if the employment of the parent under the conditions outlined in III.2(a) or III.2(b) is terminated.

  4. FEE REFUND POLICY

    1. Staff members who cancel their registrations prior to the beginning of classes shall receive, upon recommendation of the Registrar, a 100% refund of all fees. No fees shall be refundable to staff members withdrawing on or after the beginning of classes.

    2. Fee refunds to a staff member's spouse shall be administered under the regular student fee refund policy.

    3. Fee refunds to children of a staff member shall be administered under the regular student fee refund policy. The portion of the general service fee included in the staff children fee will be used as the base in applying the refund percentage.
